• What is a school fee management system?

  A school fee management system is software that sets each class's fees and installments, bills every student and collects the money — at the counter or online. Inkwelly also sends bills, reminders and receipts on WhatsApp, applies sibling, staff and RTE concessions by itself, and shows who has paid and who hasn't, live.

• How do parents pay fees online in Inkwelly?

  From the payment link in a WhatsApp, SMS or email reminder, or from the Fees screen of the Inkwelly app — by UPI, card, net banking or wallet, through Razorpay. In the app a parent can pay the whole bill or part of it.

• Does the money come straight to the school's account?

  Yes. Online payments go through Razorpay, connected to your school's own account, and Razorpay settles the money to your bank. You choose whether the parent pays the small gateway charge or the school absorbs it.

• Do parents get the fee receipt on WhatsApp?

  Yes. The moment a payment is recorded — online, at the counter or through the AI — the receipt goes to the family with its PDF on WhatsApp, and by SMS, email or the app as your school chooses. Every receipt carries a QR code anyone can scan to check it's genuine.

• How do automatic fee reminders work?

  Switch on automatic reminders and pick a tone: Gentle, Standard or Strong. Inkwelly then reminds families before and after the due date, around the hour you choose, each message with a payment link, and skips a bill once it's paid. You can also remind any class or family yourself, now or at a set time.

• Can we collect cash, cheques and UPI at the counter?

  Yes — cash, UPI on the school's QR, card, cheque (post-dated too), bank transfer, demand draft or wallet, in full or in part. The receipt is made at once, prints on a thermal printer or as an A4 PDF, and reaches the parent on WhatsApp.

• What happens when a cheque bounces?

  Mark it bounced. The bill opens again, its receipt is cancelled, and the bank's charge can be added as a fine. A bounced cheque can also be redeposited.

• How are late fees charged?

  Set a rule — a flat amount per day, week or month, a percentage or slabs — with a grace period and a cap. With automatic late fees on, Inkwelly adds them every morning at 9. RTE students, previous-year dues and any bill or student you exempt are never charged.

• Are sibling and staff-ward discounts automatic?

  Yes. Brothers and sisters are found by the parent's mobile number and ranked oldest first, so the second child gets your sibling rate. Children of staff get the staff-ward rate set for their parent's department. Merit, need-based and other concessions, scholarships and waivers are given by hand, with an approval step if you want one.

• How are RTE students handled?

  Mark a student as RTE and their fee is waived by itself, with no late fee ever. Reimbursement claims to the state are prepared, submitted and tracked until the money is paid.

• Can one child pay a different fee from the rest of the class?

  Yes. With the Fee Sheet switched on in Fee Settings, the office can set one child's own fee for any fee head — no activity fee, say — or give a whole-year discount. Every save needs the PIN, is kept in History and can be undone for 24 hours.

• Can fees be paid in installments?

  Yes. Each fee structure has the installments you choose — monthly, quarterly, by term or once a year — each with its own due date. A parent can also pay part of a bill at the counter or in the app.

• What does the principal see?

  The fee dashboard: today's collection by mode and collector, total paid and due, the top defaulters, overdue by age, cheques, concessions and refunds — refreshing by itself. A collection report also arrives on WhatsApp at 6 pm, Monday to Saturday.

• Can we print fee receipts on a thermal printer?

  Yes. Receipts print on 80 mm or 58 mm thermal printers from the office computer, on Bluetooth printers from the Inkwelly app on Android, or as an A4 PDF.

• Who can see fee amounts and collect fees?

  Each person sees what their role allows. Staff who shouldn't see totals or a child's fee see them hidden, and can still collect. Every collection needs the collector's own 4-digit PIN, and every fee change is logged.

• What happens to last year's unpaid fees?

  They come forward as previous dues on the child's new fee profile, so nothing is lost. When you switch to Inkwelly, we bring each child's pending balance from your old software the same way.

• Can we switch to Inkwelly in the middle of the year?

  Yes. Start in any month. We set up your fee plans and concessions and bring each child's pending balance at no cost, so the next bill goes out from Inkwelly.

• Can I ask Inkwelly AI about fees?

  Yes, on plans with Inkwelly AI. Ask “aaj kitni fees aayi?”, “Class 9 ke defaulters?” or “Aarav ki fees ka status?” in English, Hindi or Hinglish and get numbers, lists or an Excel. It can also send reminders, raise bills or record a payment — always with a preview you approve, and the PIN for payments.

• Is it available in Hindi?

  Yes. Inkwelly works in English and Hindi. Parents get bills, reminders and receipts in English or Hindi, and invoices can print with English, Hindi or both labels.

• How much does Inkwelly's fee management system cost?

  Student Fees is in every plan, from Lite at ₹49 per student per year (GST extra). Plans run ₹49–₹199 per student per year, with ₹0 migration, training and setup. Online payments carry Razorpay's own charges.
