Moving parents off the app
Nobody has to install anything, which is the whole point — but parents do need to be told, once, that messages will now arrive on WhatsApp from a number they should save. Schools that skip this step spend the first fortnight fielding calls about why the app has gone quiet.
We send the announcement through the old channel before go-live and again on the day, and the first WhatsApp message a parent receives identifies the school clearly. In practice the transition takes about a week to feel normal.
Getting the data out
Standard exports cover students, parents, fees, marks and attendance, cross-checked against your accounts system on the fee side. Where an export is partial, we work from reports and printed records.
What reliably needs cleaning
- Parent contacts tied to an app login rather than a working phone number — the ones that matter most for WhatsApp and the ones most often stale.
- Siblings with the same parent recorded as two separate contacts.
- Students never marked as left after a transfer.
- Fee concessions applied historically as one-off adjustments rather than as rules, which have to be re-expressed as rules to keep working.
How the move actually runs
Extraction first. We take everything we can get — students, parents, fee ledgers, marks, attendance, staff records, transport routes — through whatever route works, and that's our job rather than yours.
Then cleaning, which is the part that takes the time. Duplicate siblings entered twice, phone numbers that stopped working two years ago, students sitting in a class they left last April, fee heads that mean different things in different years. We do the work and come back to your office with a short list of judgement calls only they can make.
Then staging. The cleaned data goes into a school you can log into and check — real screens, your students, your numbers — before anything is live. You approve it, or you send it back.
Then you pick a date. Go-live can be the next working day. You pick the date; we don't need months of parallel running to get there.
What happens to your history
Everything current comes across before go-live: enrolled students, their parents and contacts, outstanding balances, this year's marks and attendance, staff records.
Historical depth — old fee ledgers, marks from previous years, archived certificates, alumni records — is brought across on its own track afterwards. It doesn't hold up day one, and separating the two is why go-live can be quick without anything being lost.

Our parents are used to the app. How do we move them?
Tell them once, through the old channel, before go-live — and again on the day. The first WhatsApp message identifies the school clearly so nobody is guessing. There's nothing for them to install, and in practice it settles within a week.
Will parents lose their message history?
History inside the old app stays in the old app. What comes across is everything that matters operationally — fee ledgers, receipts, attendance, marks — so a parent's account is continuous even though their chat history doesn't move.
What if our current vendor won't help?
It slows us down; it doesn't stop us. We rebuild from whatever exists — spreadsheet exports, your accounts system, printed registers, PDF report cards, even photographs of ledger pages. It's a one-time effort and it's ours. Your data being awkward to get out is not a reason to stay.
Should we wait for the new session?
Most schools move at the start of a month, and a term boundary is tidiest for fee cycles — but there's nothing structural stopping a mid-session move, and waiting six months to escape something that's costing you time now is rarely the right trade. Your history comes across either way.
