Find the custom work before you commit
Ask your office and your accounts team what the current system does that they'd miss. It's usually two or three specific things — a particular fee calculation, a report a trustee expects in a certain shape, a certificate format built for your school.
Bring those to the demo. Some we already do differently and better, some configure, and a few we genuinely don't do. We'd rather tell you that before you sign than discover it in week three.
Getting the data out
Module exports usually cover the bulk, cross-checked against your accounts system for fees. Where the export is partial, we work from reports and printed records — and if the vendor is slow, that path is often faster than waiting.
What reliably needs cleaning
- Custom fields whose meaning lives in one person's memory.
- Fee heads accumulated across years, with retired heads alongside live ones.
- Students never formally marked as left.
- Parent contacts predating WhatsApp as a channel.
- Report formats built for a requirement that no longer applies.
How the move actually runs
Extraction first. We take everything we can get — students, parents, fee ledgers, marks, attendance, staff records, transport routes — through whatever route works, and that's our job rather than yours.
Then cleaning, which is the part that takes the time. Duplicate siblings entered twice, phone numbers that stopped working two years ago, students sitting in a class they left last April, fee heads that mean different things in different years. We do the work and come back to your office with a short list of judgement calls only they can make.
Then staging. The cleaned data goes into a school you can log into and check — real screens, your students, your numbers — before anything is live. You approve it, or you send it back.
Then you pick a date. Go-live can be the next working day. You pick the date; we don't need months of parallel running to get there.
What happens to your history
Everything current comes across before go-live: enrolled students, their parents and contacts, outstanding balances, this year's marks and attendance, staff records.
Historical depth — old fee ledgers, marks from previous years, archived certificates, alumni records — is brought across on its own track afterwards. It doesn't hold up day one, and separating the two is why go-live can be quick without anything being lost.

We have a custom fee calculation built for us. Will we lose it?
Maybe — and it's worth finding out before you commit rather than after. Bring it to the demo and show us the actual case. Some things configure, some we already handle differently, and a few we don't do. You should hear which on the call.
A trustee expects a report in a specific shape.
Show us the report. Most are assemblies of data the system already holds and can be produced; occasionally one depends on something we don't track, and that's a real answer you should get before signing rather than afterwards.
What if our current vendor won't help?
It slows us down; it doesn't stop us. We rebuild from whatever exists — spreadsheet exports, your accounts system, printed registers, PDF report cards, even photographs of ledger pages. It's a one-time effort and it's ours. Your data being awkward to get out is not a reason to stay.
Should we wait for the new session?
Most schools move at the start of a month, and a term boundary is tidiest for fee cycles — but there's nothing structural stopping a mid-session move, and waiting six months to escape something that's costing you time now is rarely the right trade. Your history comes across either way.
What does Inkwelly cost?
₹49–₹199 per student per year, flat at any school size — no enrolment slabs and no per-module upsell. A 500-student school on the middle plan is about ₹49,500 a year. Migration, training and setup are ₹0. The only external costs are WhatsApp message fees and your payment gateway's transaction charge, both billed at cost.
