MODULE · AI Connect

Your office can just ask. ChatGPT or Claude answers from your own records.

AI Connect lets principals, accountants and office heads in Indian schools ask ChatGPT or Claude about fees, attendance, staff and transport in plain language, and get answers from live Inkwelly records. Each connection belongs to one staff member, reads only what the school allows, and leaves a record of every lookup. It is AI for school administration that the school controls — not a chatbot that guesses.

ChatGPT for school management, answered from your own records

It is 9:10 on a Sunday night in Lucknow, and the WhatsApp message from the school's chairman is short: "How much of the October instalment is still pending in Class 10? Need it for tomorrow's meeting." The principal knows the number exists. It sits in the fee module, on the office desktop, behind a login she rarely opens on her phone. The accountant who could pull it in two minutes left at five. So she replies "will share tomorrow", and the meeting starts at ten with a figure the accountant sends at 9:45 — from a report that was built for a different question.

That is the real cost of school data today: not missing numbers, but numbers that arrive too late. The trustees plan a fee-reminder drive on last week's dues. The coordinator finds out in February that a handful of Class 10 students are below the 75% attendance mark for board exams. The accountant becomes the school's human search box. And when someone pastes an Excel export of student data into a chatbot for a quick summary, nobody knows where that file went or how to take it back.

If you have lived any of those evenings, you know why principals are asking about ChatGPT for school management — and why the real question is how to do it without handing over student records. Inkwelly AI Connect is our answer: connect ChatGPT or Claude to your school ERP, let each staff member ask in plain language, and keep every rule in the school's hands.

What AI Connect is, in plain words

AI Connect is the part of Inkwelly that lets an AI assistant your staff already use — ChatGPT or Claude — read your school's records and answer questions about them. It is not a chatbot that explains how to use the software. When the principal asks "which Class 10 B students are below 75% attendance this session?", the assistant looks it up in Inkwelly at that moment and replies with names and percentages from your own attendance register.

Three rules sit underneath everything. Every connection belongs to one named staff member, and whatever their assistant asks is recorded under that name. The school decides what each connection can read — the whole fee module for the accountant, only transport for the transport in-charge. And a connection only reads unless the school deliberately allows actions; anything that publishes, notifies parents or deletes shows a preview and waits for a yes.

For the school's IT person, the technical name is worth knowing once: AI Connect is built on MCP, the Model Context Protocol, an open standard that ChatGPT, Claude and other assistants use to connect to outside systems, so there is nothing to install on school computers. AI Connect has been live since July 2026, when we announced it in our release notes with fees and student records, and it now reaches attendance, staff, timetable, homework, transport, the Money Book and more.

What AI Connect gives your school

  • Answers from live Inkwelly records to plain-language questions in ChatGPT or Claude, in English or Hinglish
  • One connection per staff member, so every lookup in the history carries a real person's name
  • Access chosen per connection — a whole module, one part of it, or a single kind of lookup
  • Read-only by default, with actions behind a separate switch for each connection
  • A preview and an explicit yes before anything is published, sent to parents, cancelled or deleted
  • An option to hide rupee totals in fee and money summaries while the counts stay visible
  • A history of every lookup: who asked, which module, what filters, answered or blocked
  • Pause, revoke or replace a connection's key, with the change applying from the very next request
  • Optional end dates for temporary access, with alerts for keys unused for a month
  • Student photos and uploaded documents never travel in answers — only the facts the question needs
  • An organisation-level connection for trusts, with school-by-school summaries

One screen to hand out, limit and watch AI access

AI Connect sits inside the school dashboard, next to your other modules, and only people the school allows can open it. Principals and office heads use it the way they already manage staff logins: decide who gets access, decide how far that access goes, and check what happened afterwards. Roles and permissions control who may view AI Connect, who may issue connections and who may read the history — so an office head can see which connections exist without being able to issue new ones. Everything on that screen is below.

Everything AI Connect puts in the school's hands

One connection, one person

Every connection is issued to a named staff member — or, for a trust, an organisation admin. Whatever their assistant looks up is recorded under their name, never under a shared login.

Access you pick, module by module

Give the accountant the whole fee module, the transport in-charge only transport, a coordinator only homework and timetable. Access can be a whole module, one part of it, or a single kind of lookup.

Read-only unless you say otherwise

A new connection can only read. Actions sit in their own section of the access list and also need the switch that allows the AI to take actions, so nobody gains them by accident.

A preview before anything changes

Publishing homework, adding a calendar event, admitting a student or issuing a letter first shows exactly what will happen and who will be told. Nothing changes until the staff member says yes.

Hide rupee totals

Turn on fee amount masking and rupee totals in collection summaries, money-flow answers and reports come back hidden while counts stay. Student-level records still show amounts, so leave the fee module off where money must stay private.

A history of every lookup

See which staff member's connection asked, which module it read, the filters it used, how many rows came back, which AI app it came from and whether it was answered or blocked.

Pause, revoke or replace a key

Pause a connection, revoke it for good, or replace its key if it was shared by mistake. Each change applies from the very next request, even in ChatGPT and Claude sessions already signed in.

End dates and reminders

Give temporary access an end date, such as a stand-in accountant for a month. The overview flags keys that expire soon, keys unused for 30 days and connections given very wide access.

Guardrails you can see

When a connection asks for something outside its access, or asks too much too fast, Inkwelly refuses before any data leaves and records the attempt. The overview counts these refusals for the principal.

An overview of how AI is used

Questions answered over 7, 30 or 90 days, the modules asked about most, the AI apps connected right now and recent approved actions — one dashboard a principal can read in a minute.

A catalogue of what can be read

A catalogue page lists everything a connection could be allowed to read or do, grouped by module, with actions marked as needing approval — so the principal and IT agree before issuing a key.

One connection for the whole trust

Groups with several schools can issue one connection to an organisation admin that covers every campus, with school-by-school summaries of fee collection, dues, student and staff attendance, enrolment and messaging.

What your team can ask AI Connect, role by role

The fairest way to judge AI for school administration is by the questions it answers on an ordinary Tuesday. The questions below all come from parts of Inkwelly that AI Connect can read today. Staff type them the way they speak — in English, or in Hinglish like "aaj kitna collection hua?" — and the assistant picks the matching lookup, runs it on your live records and replies in the chat. Follow-ups work as in any chat: ask for the list, then "only Class 9", then "sort by amount" — and each lookup lands in the history.

For the principal and owner

A principal's questions usually cross modules, which is exactly where asking beats clicking through reports. Typical ones:

  • "How much of the October instalment is still pending in Class 10, and who owes the most?"
  • "Which Class 10 B students are below 75% attendance this session?"
  • "Which Science and Maths sections are behind on the syllabus this term?"
  • "Kal school hai ya chhutti? And when is the next PTM on the calendar?"

Each answer comes back as names, classes and figures from Student Fee, attendance, lesson-plan and calendar records. Because the history shows exactly what was looked up, the principal can forward a figure to the chairman knowing where it came from.

For the accountant and office head

The accounts desk answers the same questions every week, often while a parent waits at the counter:

  • "How much did we collect this week, and how much came through UPI?"
  • "Which cheques bounced this month, and whose were they?"
  • "How many parents got a fee reminder this week, and how many paid after it?"
  • "How much RTE reimbursement is still due from the government?"
  • "Aaj cash box me kitna hai, and has today's cash been closed?"

These read Student Fee and the Money Book, the school's own accounts. If a front-desk connection should not show the school's income totals, switch on amount masking for that connection — the counts still come back.

For coordinators and class teachers

Academic questions are about who did what, and when. Coordinators and class teachers ask things like:

  • "Who hasn't submitted yesterday's Maths homework in Class 8 A?"
  • "What does Class 7 B's timetable look like on Tuesday, and who teaches period 4?"
  • "Which topics in Class 9 Science are past their planned date?"
  • "Which students in Class 6 still don't have an ID card?"

A coordinator's connection can be limited to Homework, timetable and lesson plans, so it never touches fees. Teachers who want to log what they taught through ChatGPT or Claude need actions switched on, and even then they can log only periods they actually teach.

For HR, transport and the school store

Staff, buses and the store each have their own daily questions, usually asked by different people:

  • "Which teachers came late more than three times last month?"
  • "How many staff leave applications are pending, and who is on leave tomorrow?"
  • "Which bus insurance, fitness or permit papers expire in the next 30 days?"
  • "Route 5 par naye admission ke liye kitni seats khali hain?"
  • "Which students still owe money to the store for uniforms and books?"

Staff attendance, transport and the store are separate modules, so the transport in-charge's connection can read buses, routes and trips without any access to the Student Fee module or staff records.

What happens between the question and the answer

It helps to know what actually happens when a staff member types a question, because that is also where the school's controls do their work. The AI assistant doesn't keep a copy of your school anywhere. It has a list of lookups this one connection is allowed to use, and it asks Inkwelly each time, live. Inkwelly then decides whether to answer at all. The whole round trip usually takes a few seconds, and it follows the same five steps every time:

  1. The assistant checks what this connection may read. A connection never given transport can't even see transport lookups.
  2. It picks the lookup that fits. "Pending fees in Class 10" becomes a fee-dues lookup; class names, student IDs and admission numbers all work.
  3. Inkwelly checks the connection. Active, within its end date, its access and its per-minute limit? If not, the request is refused and recorded.
  4. Inkwelly sends back a compact answer. Names, classes, dates and figures, lists capped at 100 rows, no photos or uploaded documents.
  5. The assistant writes the reply in the chat, and the lookup appears in the AI Connect history.

Nothing is uploaded ahead of time, and Inkwelly never sends the AI company a copy of your database — only the answer to each question.

Answers from your records — and how to check them

AI Connect doesn't make an assistant infallible. It changes where the answer comes from: your own records, not the internet or the assistant's memory. Every lookup sits in the history with the filters that were used, so if a total looks wrong you can see whether the assistant asked for Class 10 A instead of all of Class 10, or for a different date range than you meant. The fix is usually a follow-up question, not a support call.

Two habits help in the first week. Ask one question whose answer you already know — yesterday's collection, or one class's attendance — and compare. And when a figure is going to a trustee or an inspection, ask the assistant which class, dates and session it used. Session-based answers use your current academic session unless you name another, such as 2025-26.

What an answer never includes

  • Student and staff photos, which stay inside Inkwelly's own dashboard and apps
  • Uploaded documents such as Aadhaar copies, birth certificates or TCs — only whether they are on file
  • Connection keys, passwords or the private settings of the school's messaging accounts
  • More than 100 rows at a time — bigger questions get narrowed or summarised instead
  • Anything from a module that the connection was never given access to

Read-only by default. Actions only when you switch them on.

Most schools start AI Connect as a way to ask, and many never need more. But some jobs really are quicker in a chat: "Sharma sir is on leave today, put Verma sir in period 3 for Class 9 B" is one sentence in ChatGPT and several screens anywhere else. So AI Connect can take a short list of actions, behind two locks.

The first lock is the access list, where actions sit in their own section and none is ticked by default. The second is a switch on the connection that allows the AI to take actions — a connection with actions ticked cannot be issued until it is on. A read-only connection never picks up actions when Inkwelly adds new ones.

Actions always run in the name of the staff member who holds the connection. The AI cannot record something on behalf of someone else, cannot write into an old academic session, and has its own, lower per-minute limit — ten actions a minute by default, adjustable from one to sixty.

What the AI can do, when you allow it

The list is short on purpose and built around everyday office work:

  • Homework — create a draft, edit it, publish it to the class, pull it back, or grade one student's submission
  • Calendar — add, move or remove an event or exam, and draft or publish a programme such as Annual Day
  • Timetable and classes — a one-day substitute, a permanent period change, a new section, a class teacher
  • Lesson plans — log what was taught, mark topics covered, set planned dates for chapters
  • Letters — draft a letter on the school letterhead, then issue it with its serial number
  • Money Book — record an expense or other income voucher
  • Students — admit a new student directly into a class

What stays out of reach, by design

Some records matter too much to change from a chat window, whatever the school switches on:

  • Collecting fees, giving discounts or editing any fee record
  • Marking or changing student or staff attendance
  • Issuing TCs, running promotions or approving profile-change requests
  • Declaring holidays or off days, which ripple into attendance, transport and payroll
  • Changing staff roles and permissions
  • Sending broadcasts or messages directly
  • Anything in transport, the store, ID cards or achievements
  • Voiding a Money Book voucher, or permanently deleting a class

Those stay in the dashboard, where the school's usual checks apply.

The preview: what you see before anything changes

Any action that reaches parents, publishes, cancels or deletes stops first and shows a preview in the chat, before anything changes:

  • Publishing homework shows the class, subject, due date, how many students it affects and exactly who gets a WhatsApp notification
  • Admitting a student shows the name, the class, and the student ID, admission number and roll number that will be assigned — with a warning if a similar student already exists
  • Issuing a letter shows the recipient and the serial number it will take
  • Recording a voucher shows the category, account, amount and voucher number, and warns if that day's cash is already closed

The staff member reads it, and only an explicit yes goes ahead.

Approvals that can't be stretched

An approval covers exactly what was previewed, once, for five minutes. If the assistant changes a single detail — another class, a different date — the approval no longer matches and a fresh preview is needed. A retry can never run the same action twice.

A few small, private steps skip the preview because nobody else sees them yet: saving a homework or letter as a draft, logging a period you taught, or grading one student's homework, which sends no notification. Editing something already published goes back to preview-and-approve.

Every action carries a readable label in the history, such as the homework title and class, so the principal can always see what the AI changed and on whose connection.

Privacy and the DPDP Act, 2023: what leaves the school, and what doesn't

Principals ask about privacy first, and they should. Under the Digital Personal Data Protection Act, 2023, your school decides why and how the personal data of students, parents and staff is used — and stays answerable for it even when another service handles that data on the school's behalf. Children's data calls for extra care. So before any AI touches school records, the school needs a plain answer: where does the data go?

Your records stay in Inkwelly, hosted on AWS Mumbai, with daily encrypted backups and role-based access. Nothing is copied to an AI company in bulk. When a staff member asks a question, two things travel to ChatGPT or Claude: the question they typed, and the answer Inkwelly returns. Both are then handled by that AI company under the school's — or the staff member's — own account with them, and that company's terms decide how long conversations are kept and how they are used. Inkwelly doesn't control that part, and this page won't pretend otherwise.

What AI Connect gives the school is control over everything on its side of that line: who may connect, which modules each connection reads, whether rupee totals are hidden, whether actions are possible at all, and a history of exactly what was looked up. Before you turn it on, read your AI provider's terms and review its settings for conversation history and data use.

What stays inside Inkwelly

Most of what a school holds never leaves Inkwelly through AI Connect, whatever is asked:

  • Your full student, staff, fee and attendance records, on AWS Mumbai
  • Student and staff photos, and every uploaded document — Aadhaar copies, birth certificates, TCs
  • Each connection's key, which Inkwelly shows once and stores only as a scrambled fingerprint
  • The AI Connect history, which the school reads and filters, including blocked attempts
  • Everything a connection was never given access to

When a question needs only a count or a short list, only that count or list is sent. A connection given only transport cannot, however a question is worded, reach a student's fee ledger.

What goes to ChatGPT or Claude

Three things are on the AI company's side of the line, and a school should plan for all three:

  • The question the staff member typed, exactly as they typed it
  • The answer Inkwelly returned for that question — names, classes, figures and dates within that connection's access
  • The chat itself, which lives in the staff member's ChatGPT or Claude account, not in Inkwelly

That is why AI Connect is per person. Give connections to the people whose questions justify them, and ask them to use a work account on a plan that supports connectors. If someone leaves, revoke their connection that day: past chats may stay in their AI account, but their assistant can no longer ask Inkwelly anything.

DPDP-minded habits for AI access

The Act's ideas translate into a few plain habits. Give each connection one purpose. Give it the fewest modules that purpose needs. Hide rupee totals where money isn't the job. Set an end date on temporary access. Read the history once a month. And keep student-level modules for staff who already handle those records every day.

None of this is legal advice, and no single setting makes a school compliant. But together these habits show that the school took reasonable care with children's and staff data — which is the spirit of what the Act asks of anyone handling personal data.

A one-page AI policy your school can adopt this week

  1. Who may hold a connection — name the roles: principal, accountant, office head, transport in-charge.
  2. What each role reads — write the modules next to each role, and issue connections to match.
  3. Actions stay off for the first month, then switch on only for named jobs such as substitutions.
  4. Which AI accounts are allowed — work accounts on a plan that supports connectors.
  5. A monthly review — the principal reads the history and removes access nobody uses.
  6. An exit rule — revoke a connection the day its holder leaves or changes role.
  7. Tell families — consider mentioning AI-assisted administration in your privacy notice.

One meeting with the AI Connect screen open is enough.

For the IT person who has to say yes

Every AI Connect rollout has one person who has to be comfortable first — the school's IT head, the computer teacher who manages logins, or the trust's systems person. The short version for them: there is nothing to install and no server to run, because Inkwelly hosts AI Connect.

A connection starts in the school dashboard. Someone with the right permission picks one staff member, names the connection, chooses its access and limits, and issues it. Inkwelly shows that connection's private key once. The staff member adds Inkwelly as a connector in ChatGPT or Claude, and a secure Inkwelly page asks for the key a single time. From then on the AI app holds a short-lived pass that renews itself — never the key, never an Inkwelly password. Assistants that accept a key directly in their MCP connector settings can use it that way instead.

Every screen of that setup is covered in our step-by-step guide on connecting ChatGPT or Claude to school data.

Security details IT heads ask about

  • Keys are shown once and stored only as a scrambled fingerprint — a lost key is replaced, not recovered
  • ChatGPT and Claude receive short-lived passes that renew; reusing an old pass cancels that app's access
  • Pausing, revoking, replacing a key and editing access apply from the next request
  • Separate per-minute limits for questions and for actions — 60 and 10 by default
  • An optional end date for each connection, and alerts for keys unused for 30 days
  • Answers leave out photos, uploaded documents, keys and messaging-account secrets
  • Blocked attempts are recorded with the reason, never silently dropped
  • For very wide access, a lighter mode lets the assistant find what it needs on demand

When a staff member leaves

A connection is a key the school handed out, so the school takes it back — it doesn't lapse on its own when someone resigns or changes role. Make revoking AI Connect part of your exit checklist, next to the staff login and the attendance device. Revoking is permanent and immediate; if the person returns, issue a fresh connection.

If a key was pasted in the wrong place or shared by mistake, replace it: the old key stops working at once and the connection keeps its access and its history. For temporary staff, set an end date when you issue the connection, and the overview will remind you before it runs out.

One connection for the whole trust

Many Indian schools belong to a trust or society that runs several campuses — a senior and a junior wing in Indore, or four schools across Bhopal, Sagar and Vidisha. The chairman's questions cover all of them at once.

AI Connect has an organisation-level connection for this. It is issued from the organisation's dashboard to an organisation admin, and one key covers every school in the trust. It adds group summaries that line schools up side by side and, where the trust allows, the same school modules as a normal connection, with the assistant naming the school for each question. Organisation connections have their own dashboard and history, kept apart from each school's, so nothing is counted twice.

Questions a group office asks

A group office wants one table across campuses, not eight separate reports:

  • "How much fee did each school collect this month, and which one is behind?"
  • "Across all our schools, where are dues highest right now?"
  • "Student attendance in every campus today — which school is lowest?"
  • "How many teachers are present in each school this morning?"
  • "How many new admissions has each school made this session?"
  • "Which school sent the most WhatsApp and SMS messages this month?"

Each is a single group summary that lines the schools up in one table. The same connection can also give a group snapshot — students, staff, fee position, payroll and transport — ahead of a Monday review.

Controls built for a trust

An organisation connection follows the same rules as a school one. The trust chooses which group summaries and school modules it may read, can hide rupee totals, and can switch actions on only where it wants them. For school-level questions the assistant must say which school it means, and if a name could match two campuses it has to ask.

A few actions are designed for teachers and do not work from an organisation admin's connection — homework and lesson-plan entries need a teacher of that school — while calendar events and day plans work across campuses. Every lookup is recorded against the school it touched, and the organisation dashboard shows which schools the AI is asked about most.

Setting up AI Connect takes minutes, not a project

Setting up AI Connect is closer to adding a staff login than to buying software. The school needs the Premium plan, a person with permission to manage AI Connect, and, for each staff member who will ask, a ChatGPT or Claude plan that supports connectors. No data has to be prepared or exported first.

The first connection usually takes a few minutes: issue it, copy the key, connect it in the AI app. The first useful answer comes straight after. Most of the real work is the conversation beforehand — which staff member gets which modules, and whether actions stay off for now. If you are comparing vendors, our buyer's checklist for school ERPs with ChatGPT access lists five questions worth asking in any demo, including ours.

Issue a connection in three steps

The AI Connect screen walks through three short steps, and nothing goes live until the last one.

Who. Search for the staff member by name or employee ID. The connection will belong to them, and everything their assistant asks will be recorded under their name.

Access. Name the connection so it still makes sense in six months — "Principal's office", "Fee desk", "Transport office" — then tick what it may read: whole modules, parts of a module or single lookups. Actions, if any, are ticked in their own section.

Review. Set the per-minute limits, an optional end date, whether rupee totals are hidden and whether actions are allowed, then issue it. The key appears once, with a copy button and connection steps for ChatGPT, Claude and other assistants.

Then connect

In ChatGPT or Claude, add Inkwelly as a custom connector using the server address shown on the AI Connect screen. A secure Inkwelly page asks for the key once, and after that the assistant stays connected without asking again. If it says it can't see something, that connection probably wasn't given the module — add it on the AI Connect screen and ask again. The change applies to the very next question. Menus and plan names in AI apps change often, so keep your provider's help page handy while you set up the first connection. Each staff member connects from their own account.

Where AI Connect fits in the rest of Inkwelly

AI Connect holds no data of its own; it reads what the rest of Inkwelly records. Today a connection can be given access to student records from Student Information; attendance and leave from Student Attendance; fees, dues, receipts, cheques, reminders and RTE claims; staff records, staff attendance and leave; classes, subjects and timetables; homework; lesson plans and syllabus coverage; the school calendar and day plans; messages, broadcasts and notices; ID cards; transport; the school store; the Money Book; letters on the letterhead; student achievements; and staff roles and permissions.

Some parts of Inkwelly are not connected to AI Connect today, including exams and report cards, payroll details, the library, the hostel and admission enquiries. When another module is connected later, existing connections don't see it until the school adds it to their access.

AI Connect is also different from the small AI helpers inside Inkwelly's own screens, which need no ChatGPT or Claude account. The admission form can fill itself in from a pasted note about a new student, and the homework form turns a one-line note into a proper title and description.

Switching from another ERP? AI Connect is ready when your data is

Most schools looking at AI Connect already run another ERP, and the honest question is how soon it becomes useful after a switch. AI Connect reads whatever is in Inkwelly, so it works as soon as the records it needs are there. Go-live can be the next working day. Moving years of historical records — old fee ledgers, past sessions, archived certificates — runs on its own track afterwards and doesn't hold up day one. Migration, training and setup cost ₹0, and extracting data from your current system, or from Excel if the vendor won't cooperate, is on us.

If you would rather prove it first, our 90-day paid pilot runs on your real data. If it isn't working at day 90, you get a pro-rata refund and your data back in standard formats.

If your school uses another ERP today

Ask your current vendor two questions. Can a staff member connect their own ChatGPT or Claude to the school's records? And can the school see a history of what that assistant looked up? If either answer is no, AI Connect belongs in your case for switching.

After you move, start small. Issue the principal's connection once the current session's student and fee records are in Inkwelly, and compare a few answers with the old system before relying on them. Add the accountant next, then attendance and transport, one connection at a time, reading the history as you go.

If your office runs on Excel and WhatsApp

Many schools in Tier-2 and Tier-3 towns still run fees on Excel sheets and circulars on WhatsApp groups. For them, AI Connect isn't the first reason to switch — getting fees, attendance and records into one system is. But it changes what that system is worth. The accountant with a separate sheet for cheques, the transport in-charge with a diary of permit dates and the principal who asks for "the list" every Monday can all simply ask. Existing Excel files come in as part of the ₹0 migration, so nobody retypes a year of records to get started.

Which Inkwelly plan includes AI Connect, and what does it cost?

AI Connect is part of the Premium plan, at ₹199 per student per year. Premium includes everything in Standard and Lite, and Inkwelly's price is flat at any school size, with no enrolment slabs and no per-module upsell. The ChatGPT or Claude plan each staff member uses is billed by that AI company, not by Inkwelly. The only external costs Inkwelly passes on, at cost, are WhatsApp message fees and your payment gateway's transaction charge.

Do we need a paid ChatGPT or Claude account?

Each staff member who asks questions needs a ChatGPT or Claude plan that supports connectors. Which plans include that, and at what price, is decided by the AI company and changes from time to time, so check their current plans before you issue connections. We suggest work accounts rather than personal ones, with the chat-history settings reviewed by the school.

Can ChatGPT or Claude see all of our school's data?

No. A connection sees only what the school gave it: a whole module, part of a module or single lookups. Modules it wasn't given don't exist as far as its assistant is concerned, and a request for them is refused and recorded. Answers never include student or staff photos or uploaded documents, and lists are capped at 100 rows.

Where is our data stored, and what does the AI company receive?

Your records stay in Inkwelly, hosted on AWS Mumbai with daily encrypted backups, role-based access and a full export in standard formats whenever you ask. When a staff member asks a question, the question and the answer Inkwelly returns go to ChatGPT or Claude under that account's plan and terms. Read your AI provider's terms on how conversations are stored and used before switching AI Connect on.

Can the AI change, send or delete anything in Inkwelly?

Only if the school allows it for that connection, and only from a short list: homework, calendar events and day plans, timetable changes, lesson-plan entries, letters, Money Book vouchers and direct admission. Anything that publishes, notifies parents, cancels or deletes shows a preview and waits for an explicit yes. Fees, attendance, TCs, promotions, holidays, staff roles and broadcasts cannot be changed through AI Connect at all.

Can we hide fee amounts from some staff members' AI?

Yes. Turn on fee amount masking for that connection, and rupee totals in collection summaries, money-flow answers and reports come back hidden while counts stay visible. Student-level records such as a single invoice still show their amounts, so if someone should see no money figures at all, don't give their connection the fee, Money Book or store modules.

Can staff ask questions in Hindi or Hinglish?

Yes. Staff type questions the way they talk, such as "Class 8 A me aaj kaun absent hai?" or "aaj kitna collection hua?", and the assistant turns them into the right lookup. Inkwelly describes its lookups using the Hinglish phrases school offices actually use, which helps the assistant pick correctly. The reply comes back in the chat in whichever language the assistant answers.

What does the AI Connect history record, and who can read it?

Every request a connection makes: the staff member and connection, the module and kind of lookup, a short summary of the filters used, how many rows came back, whether it was answered, blocked or failed, which AI app sent it, how long it took and when. Actions also show what they changed. Only staff with permission to view the AI Connect history can read it. The chat conversation itself stays in the staff member's AI account.

How do we stop a connection, for example when a teacher leaves?

Open the connection on the AI Connect screen and revoke it. Access stops from the very next request, including in ChatGPT or Claude sessions that are already signed in. Revoking is permanent; pausing is the reversible option. Connections don't lapse on their own when someone resigns, so add AI Connect to your staff exit checklist, and use end dates for temporary access.

Does our IT team need to install anything or run a server?

No. Inkwelly hosts AI Connect. A person with permission issues a connection in the school dashboard, the staff member adds Inkwelly as a connector in ChatGPT or Claude, and a secure Inkwelly page asks for that connection's key once. Our step-by-step guide on the Learn pages walks through each screen.

We use another ERP. How soon after switching can we use AI Connect?

As soon as the records it needs are in Inkwelly. Go-live can be the next working day, and moving historical records runs on its own track afterwards without holding up day one. Migration, training and setup are ₹0, and data extraction from your current system, or from Excel, is on us. A 90-day paid pilot on your real data lets you test AI Connect before committing.

Will our staff need training to use AI Connect?

Very little. If a staff member can type a WhatsApp message, they can ask AI Connect a question. The part that needs thought is on the school's side — who gets a connection and what it can read. We do a full day of on-site training at go-live and stay on WhatsApp through the first month, answered by people who work on the product.

How accurate are the answers?

Answers come from your school's own records at the moment of the question, not from the internet or the assistant's memory. An assistant can still misread a question, for example by picking the wrong class or dates, so the history shows exactly which lookup ran with which filters. For figures going to a trustee or an inspection, ask the assistant which class, dates and session it used.

Can a trust with several schools use one connection?

Yes. An organisation admin can hold an organisation-level connection that covers every school in the trust. It adds group summaries — fee collection and dues by school, student and staff attendance, enrolment and messaging use — and can also read school modules if the trust allows, with the assistant naming the school for each question. Its history and dashboard are kept separate from each school's.
