Who owns the student list

If you run both, one system has to be the source of truth for who the students are — otherwise a new admission or a mid-year transfer gets typed twice and the two lists drift apart within a term.

In practice that's Inkwelly, because admission is where a student record begins: an enquiry becomes an applicant becomes an enrolled student, and the classroom tool picks them up from there. Deciding this before go-live rather than after saves the argument.

If you're replacing the institute side

Students, parents, fee records, attendance and marks export and come across the normal way. The classroom content itself — teaching material, question banks — generally stays where it is, and most schools find that's the right outcome anyway.

What reliably needs cleaning

  • Students created for a class who were never formally admitted, so they exist in the classroom tool but not in any admission record.
  • Parent contacts captured at class-joining rather than at admission, which are often less complete.
  • Fee records that started partway through a year, leaving no opening balance.
  • Duplicate students created when a class was recreated for a new term.

How the move actually runs

Extraction first. We take everything we can get — students, parents, fee ledgers, marks, attendance, staff records, transport routes — through whatever route works, and that's our job rather than yours.

Then cleaning, which is the part that takes the time. Duplicate siblings entered twice, phone numbers that stopped working two years ago, students sitting in a class they left last April, fee heads that mean different things in different years. We do the work and come back to your office with a short list of judgement calls only they can make.

Then staging. The cleaned data goes into a school you can log into and check — real screens, your students, your numbers — before anything is live. You approve it, or you send it back.

Then you pick a date. Go-live can be the next working day. You pick the date; we don't need months of parallel running to get there.

Frequently asked

Can we keep Teachmint and add Inkwelly?

Yes, and plenty of schools do. Teachmint for the classroom, Inkwelly for admissions, fees, attendance, transport, payroll and parent communication. Decide which one owns the student list — usually Inkwelly, since admission is where the record starts.

Our fee records only start from partway through the year.

Then we set an opening balance per student as at the changeover, agreed with your office, so a parent's ledger reads correctly from that point. It's a normal starting position and it's better handled explicitly than by pretending the earlier months exist.

What if our current vendor won't help?

It slows us down; it doesn't stop us. We rebuild from whatever exists — spreadsheet exports, your accounts system, printed registers, PDF report cards, even photographs of ledger pages. It's a one-time effort and it's ours. Your data being awkward to get out is not a reason to stay.

What does Inkwelly cost?

₹49–₹199 per student per year, flat at any school size — no enrolment slabs and no per-module upsell. A 500-student school on the middle plan is about ₹49,500 a year. Migration, training and setup are ₹0. The only external costs are WhatsApp message fees and your payment gateway's transaction charge, both billed at cost.

How quickly can we go live?

Go-live can be the next working day. You pick the date; we don't need months of parallel running to get there. Bringing across years of historical records — old marks, past fee ledgers, archived certificates — runs on its own track afterwards and doesn't hold up day one.

Can we try it before committing?

90-day paid pilot on your real data. If it isn't working at day 90, pro-rata refund and your data back in standard formats. We don't offer a free trial on dummy data — it proves nothing to either of us. The pilot runs on your real students, your real fees.
