Self-hosted is the easy case
If your school runs its own Fedena instance, you already control the data and nobody has to be asked for permission to leave. That removes the single most common source of delay in any migration.
It also usually means someone at the school has been quietly carrying the cost of keeping it running — server, updates, backups, and the person who knows how. That cost rarely appears in a comparison against a hosted product, and it should.
What reliably needs cleaning
- Custom fields added over the years whose meaning now lives only in one person's memory.
- Fee heads that accumulated as the structure changed, leaving retired heads alongside live ones.
- Students never formally marked as left, so enrolment counts drift upward year on year.
- Parent contacts duplicated across siblings with inconsistent spelling.
- Staff records for people who left, still holding access.
How the move actually runs
Extraction first. We take everything we can get — students, parents, fee ledgers, marks, attendance, staff records, transport routes — through whatever route works, and that's our job rather than yours.
Then cleaning, which is the part that takes the time. Duplicate siblings entered twice, phone numbers that stopped working two years ago, students sitting in a class they left last April, fee heads that mean different things in different years. We do the work and come back to your office with a short list of judgement calls only they can make.
Then staging. The cleaned data goes into a school you can log into and check — real screens, your students, your numbers — before anything is live. You approve it, or you send it back.
Then you pick a date. Go-live can be the next working day. You pick the date; we don't need months of parallel running to get there.
What happens to your history
Everything current comes across before go-live: enrolled students, their parents and contacts, outstanding balances, this year's marks and attendance, staff records.
Historical depth — old fee ledgers, marks from previous years, archived certificates, alumni records — is brought across on its own track afterwards. It doesn't hold up day one, and separating the two is why go-live can be quick without anything being lost.

We self-host. Does that make this harder?
Easier. You already have the data and nobody needs to grant permission for you to leave. It also means you've been carrying the hosting, updates and backups yourself — worth counting when you compare what the two options actually cost.
We have custom fields nobody fully remembers.
That's the normal state after a few years. We bring them across as data and go through them with your office during cleaning — some map onto standard fields, some are worth keeping as custom, and some turn out to have been abandoned years ago.
What if our current vendor won't help?
It slows us down; it doesn't stop us. We rebuild from whatever exists — spreadsheet exports, your accounts system, printed registers, PDF report cards, even photographs of ledger pages. It's a one-time effort and it's ours. Your data being awkward to get out is not a reason to stay.
Should we wait for the new session?
Most schools move at the start of a month, and a term boundary is tidiest for fee cycles — but there's nothing structural stopping a mid-session move, and waiting six months to escape something that's costing you time now is rarely the right trade. Your history comes across either way.
What does Inkwelly cost?
₹49–₹199 per student per year, flat at any school size — no enrolment slabs and no per-module upsell. A 500-student school on the middle plan is about ₹49,500 a year. Migration, training and setup are ₹0. The only external costs are WhatsApp message fees and your payment gateway's transaction charge, both billed at cost.
