Switching ERPs mid-academic-year sounds terrifying. It isn't when the new vendor owns the migration. Here's the step-by-step of how Entab → Inkwelly works.
The 14-day migration
Day 1-2: Kick-off. We sign the pilot agreement and data-processing addendum. You give us Entab login access (read-only is fine) or export a dump.
Day 3-7: Extraction and cleaning. We pull students, parents, fees, marks, attendance, staff, transport routes. We clean obvious issues (duplicates, bad phone numbers, wrong class mappings) with your office staff.
Day 8-10: Staging load. Data goes into a staging Inkwelly tenant you can log into. You review and approve.
Day 11-12: Training. We come on-site for a day — office staff, teachers, administration. Hindi and regional languages available.
Day 13-14: Go-live. Typically on the 1st of a month. Your first fee is processed on Inkwelly.
What could go wrong — and how we handle it
- Entab doesn't export cleanly → We use screen scraping + Excel export as fallback. Done this 50+ times, we expect it.
- Fee heads don't map 1-to-1 → We keep your exact fee head structure. No 'simplification' that breaks reconciliation.
- Marks entry mid-term → We stop the Entab exam, reload marks into Inkwelly, and continue from there. No data loss.
- Some staff still on Entab → Run both for 2 weeks if you want. We don't charge for parallel running.
Frequently asked
Can we migrate mid-academic-year?
Yes — the cleanest break is on the 1st of a month, not on April 1st. We've migrated schools in July, September, January. The fee cycle is what matters, not the board calendar.
What about historical data from Entab?
We preserve all historical fees, marks, and attendance — typically 5 years of data. Nothing lost. Old records remain searchable and exportable.
What if Entab refuses to export?
Your data is legally yours. We can extract from screens, from Excel exports, from printed reports, and from your own records. We've handled every level of vendor non-cooperation.
What if we don't like Inkwelly after migration?
90-day paid pilot. If it's not working at day 90, we refund pro-rata and hand your data back in standard formats. You're free to go back to Entab or anywhere else.
