Class roll तोड़े बिना mid-session students कैसे admit करें Inkwelly में
उन office staff के लिए जो session शुरू होने के बाद relocate हुई families को handle करते हैं — August में Class 5 walk-in, November में आया transfer student, December में board cohort का shift। इस guide के बाद बच्चा real Joining date से class roster पर होगा, sequential roll number मिलेगा, class strength बरकरार रहेगी, और attendance, fees, reports पहले दिन से सही चलेंगे।
Inkwelly में mid-session admission करने के लिए: Students फिर New admission खोलिए, बायीं तरफ student profile भरिए, दायीं तरफ class चुनिए, Joining date वही दीजिए जिस दिन बच्चा actually class join कर रहा है, और Admit student दबाइए। Auto-assign Roll Number on है तो नए बच्चे को उस class का next free roll मिल जाएगा, इसलिए class strength clean रहती है। Inkwelly में अलग से कोई mid-session mode नहीं है — Joining date field ही admission को mid-session बनाती है।
Indian schools के लिए mid-session admission एक पक्की reality है। Right to Education Act 2009 की Section 13 schools को पूरे academic year में eligible बच्चों को admit करने के लिए बाध्य करती है, सिर्फ़ March-April में नहीं, और UDISE+ enrolment data दिखाता है कि mid-session entries हर साल class strength का 4% से 9% तक होती हैं — military families, inter-state transfers, RTE late entries, और gap year के बाद re-admission। Inkwelly इन्हें exception नहीं मानता। जो New admission screen March intake handle करती है, वही November walk-in भी admit करती है। फ़र्क सिर्फ़ Joining date field का है — actual start day दीजिए और Inkwelly admission को mid-session याद रखता है, जिससे attendance, fee timing, और class-strength reports उस दिन से सही चलते हैं।
1. New admission screen खोलिए
Inkwelly → Students → New admission खोलिए। Page title पर New admission लिखा होगा और subtitle में Admit a new student to {session} — यह {session} chip आपके top bar से आता है और form के अंदर read-only रहती है। अगर family current year के लिए join कर रही है, session वैसा ही रहने दीजिए। अगर वो अगले session की शुरुआत में join कर रहे हैं जो अभी शुरू नहीं हुआ, इस screen को खोलने से पहले top bar में session switch कीजिए, वरना एक current-year admission बन जाएगा जिसे delete करना पड़ेगा।
Page के दो columns हैं। बायाँ column Student profile है — identity, photo, parent details। दायाँ column Academic enrollment है — session chip, class, roll, registration number, joining date, remarks। Admit student button bottom-right में बैठा है।
2. Student profile भरिए
बाएँ column में बच्चे का first name, last name, date of birth, और gender डालिए। Inkwelly date of birth को class age band के against check करता है और अगर बच्चा band के बाहर हो तो soft warning आती है — यह transferred student के लिए useful है जब वो repeat या skip कर रहा हो। Passport photo upload कीजिए (JPG / PNG / WebP, ≤5 MB; auto-cropped square में)। Optional लेकिन recommended: blood group, religion, mother tongue, nationality, Aadhaar / APAAR ID — पुराने school का TC ये values पहले से carry करता है, इसलिए parent से दोबारा पूछने की बजाय वहीं से copy कर लीजिए।
Hindi-medium और bilingual schools के लिए name fields में दो stacked inputs दिखते हैं; Sparkles icon tap करने पर English value automatically Devanagari में transliterate हो जाती है। और keystrokes बचाने के लिए page header में AI auto-fill button है — पुराने school का TC text या admission application की photo paste कीजिए और Inkwelly form के obvious fields सीधे document से भर देता है, बाकी आप check कर लीजिए।
3. Parent और guardian details capture कीजिए
बाएँ column में ही father का नाम और mobile, mother का नाम और mobile, और optional guardian डालिए। Primary contact mobile चुनिए — यही WhatsApp / SMS number है जिसे Inkwelly fee reminders, attendance alerts, और parent-app login OTP के लिए use करता है। Relocated family के लिए usually working mobile वही होता है जो parent नई city में answer करते हैं।
अगर वो mobile पहले से किसी existing student के parent का है, Inkwelly sibling-link banner दिखाता है जिसमें one-click Link sibling action होता है। Mid-session admissions में यह अक्सर आता है — बड़ा sibling March में admit हुआ, छोटा August में आ रहा है। Banner tap कीजिए ताकि existing parent record reuse हो (address, occupation, emergency contact carry over हो जाए) और Student Fee में set sibling discounts save करने पर automatically apply हो जाएँ।
4. Joining date set कीजिए और class चुनिए
यह वो step है जो admission को mid-session बनाता है। दाएँ column में dropdown से Class चुनिए (placeholder: Select class) — सिर्फ़ current session की active classes ही दिखेंगी। फिर Joining date उस दिन की दीजिए जब बच्चा actually class attend कर रहा है — आज की date नहीं, form भरने की date नहीं, बल्कि पहला दिन जब बच्चा classroom में बैठेगा। August walk-in के लिए वो usually 1 August होगा या उस week का Monday; November transfer के लिए वो Monday होगा जब parent पुराने school का TC formality पूरा कर ले।
Inkwelly joining date को याद रखता है — और उस दिन से आगे attendance, fee timing, और class strength सब automatically line में आ जाते हैं। Attendance सिर्फ़ joining day से आगे required होती है, अगला fee instalment joining day से calculate होता है, और class-strength dashboard नए बच्चे को section में उसी दिन से count करता है। पुराने महीने back-fill नहीं होते — records में पहले के महीनों की entry simple सी रहती है कि बच्चा तब school में था ही नहीं।
5. Admission number और roll assign कीजिए
Registration no. field school के अपने registration format को accept करता है (placeholder: REG2025001) — transferred student के लिए आप या तो fresh number generate कर सकते हैं या पुराने school का number carry करा सकते हैं, जो भी school की policy हो।
Roll no. field के दो modes हैं:
- Auto-assigned (default) — जब Settings → Admissions में Auto-assign Roll Number on है, placeholder Auto-assigned दिखता है और Inkwelly save करने पर नए student को उस class का next free roll दे देता है। Class 5-A में existing rolls 1 से 42 जैसे हैं वैसे रहते हैं; mid-session entrant roll 43 बन जाता है। Class strength clean रहती है — section की पुरानी roll order disturb नहीं होती।
- Manual entry — जब auto-roll off है, placeholder 1 दिखता है और आप roll type करते हैं। अगर आप वो number type करते हैं जो उसी class में किसी और student के पास पहले से है, Inkwelly save रोक देता है और एक clear message दिखाता है: Roll number already assigned in this class — दूसरा number चुनिए, या cleanest result के लिए auto-roll on कर दीजिए।
6. Admit student दबाइए और verify कीजिए
Bottom-right में Admit student click कीजिए। एक ही save में Inkwelly student profile बनाता है, parent records link करता है, roll number assign करता है, admission number allocate करता है, joining date से fee profile खोलता है, joining date को student के record पर save करता है, और (अगर primary parent का mobile verified है) WhatsApp Business के through parent-app onboarding link भेज देता है।
Success card heading Admission successful के साथ खुलता है, body में {name} has been enrolled., और chips में ID {studentId} और Adm no. {admissionNumber} — दोनों verify कीजिए कि वही हैं जो आपने type किए थे। तीन buttons follow होते हैं: View student profile, Admit another, Dashboard। नीचे toast आता है Student admitted successfully sub-line {name} has been enrolled के साथ। View student profile पर tap कीजिए और confirm कर लीजिए कि नया roll number next in line है और joining date वही है जो आपने दी।
Common pitfalls — mid-session admission पर office staff जो ग़लतियाँ करते हैं
- Top bar में ग़लत session select — form वही session admit करता है जो top-bar chip में दिख रहा है। अगले year के लिए admit कर रहे हैं तो खोलने से पहले session switch कीजिए, वरना current-year admission बन जाएगा जिसे delete करना पड़ेगा।
- Joining date आज की दे दी, real start day नहीं — अगर बच्चा Monday से शुरू कर रहा है पर आप form Friday को भर रहे हैं, Joining date Monday दीजिए, आज नहीं। वरना attendance में दो false-absent weekdays लग जाएँगे बच्चे के actually आने से पहले।
- Joining date school holiday पर पड़ रही है — अगर parent कह रहे हैं बच्चा उस date से शुरू हुआ जो Sunday या closed-school holiday है, अगला working day pick कीजिए। पुराने महीने की attendance कभी automatically back-fill नहीं होती।
- Parent mobile पहले से exist करता है, sibling banner ignore कर दिया — जैसे ही mobile किसी existing parent से match होता है, Inkwelly sibling-link banner दिखाता है। Banner dismiss करने की बजाय tap कीजिए, वरना sibling discounts save करने पर apply नहीं होंगे।
- Manual roll type किया जो already taken है — Inkwelly save रोक देगा और message दिखाएगा Roll number already assigned in this class। या तो Auto-assign Roll Number on कीजिए, या ख़ुद next free roll चुन लीजिए।
- पुराने school का TC attach करना भूल गए — TC PDF हाथ में आते ही उसी दिन student के Documents tab में upload कीजिए; CBSE Affiliation Bye-Laws के तहत receiving school को original TC admission record का part रखना ज़रूरी है।

Mid-session admissions usually तीन follow-up tasks में ले जाती हैं जो office staff उसी हफ़्ते handle करते हैं:

अगर Joining date past में हो तो क्या होगा?
Inkwelly past joining date accept कर लेता है। Attendance फिर उस date से आगे required होती है, लेकिन Inkwelly पुराने दिनों की attendance auto-fill नहीं करता — अगर बच्चा genuinely आया था तो वो आप ख़ुद mark करते हैं। जो बच्चा दो हफ़्ते पहले join हुआ था और आप आज form भर रहे हैं, उसके लिए Joining date actual पहला दिन रखिए; fee profile सही line up होगा और class strength उसी दिन से record हो जाएगी।
क्या transferred student पुराने school का admission number रख सकता है?
नहीं। Inkwelly save पर आपके school की अपनी sequence से fresh admission number देता है — CBSE Affiliation Bye-Laws के तहत admission numbers issuing school से tied होते हैं। पुराने school का admission number reference के लिए Registration no. field में डाला जा सकता है, या imported Transfer Certificate के part के रूप में Documents tab में रखा जा सकता है।
Inkwelly me mid-session admit ke liye fee proration kaise kaam karti hai?
Fee profile next instalment date के साथ खुलता है जो joining date से calculate होती है, session start से नहीं। पुरानी instalments auto-bill नहीं होतीं — ज़्यादातर schools या तो उन्हें waive करते हैं या flat re-admission fee charge करते हैं, जो हर school में Settings → Fee Structures में configurable है। Sibling और RTE concessions फिर भी apply होती हैं जब family link या RTE flag save करने पर confirm हो जाता है।
अगर मैं वो roll number type कर दूँ जो पहले से class में किसी और के पास है तो?

क्या Inkwelly में अलग से कोई mid-session admission mode है?
नहीं, और यह design से ऐसा है। वही New admission screen March-April fresh intakes और mid-session walk-ins दोनों handle करती है — फ़र्क सिर्फ़ Joining date field का है। Session start के बाद की date set करना ही entry को mid-session mark करता है और attendance, fees, class-strength reports को उसी दिन से line up करता है।
क्या mid-session admissions UDISE+ enrolment numbers पर असर डालेंगी?
