Entab CampusCare vs Edunext: which school ERP fits your school, and why
Two NCR vendors, two very different products, and no neutral comparison anywhere a management committee can read. This guide puts Entab CampusCare and Edunext side by side on history, install base, modules, parent app, WhatsApp, pricing model, contract and support — from public sources, with the trade-offs left in.
A principal in Ghaziabad sat through two school ERP demos in the same week. Monday was Entab CampusCare: a polished walkthrough, reference schools she had heard of, and a quote that would follow "once we understand your requirement". Thursday was Edunext: a quicker pitch, a parent app the sales team opened on their own phones, and a price that also depended on "modules and users". Both companies are based in the NCR. Both have sold to Indian schools for more than a decade. And nobody outside either company has written a plain Entab vs Edunext comparison that a management committee can read in ten minutes before it decides. This is that comparison, built from public sources, with the trade-offs left in.
Entab vs Edunext: the short answer
Entab and Edunext are not the same product at two prices. Entab CampusCare is the older, broader system that long-established schools buy for depth, a familiar name and a regional office nearby. Edunext is the younger, app-led system that mid-sized private schools buy for a faster rollout and a parent app families adopt quickly. Which is better depends on which of those two things your school is actually short of — and on contract terms that neither vendor publishes, so you will have to ask for them in writing.
Entab CampusCare vs Edunext at a glance
Everything below comes from the two companies' own websites and app-store listings, and from public review sites such as SoftwareSuggest, Techjockey, Technology Counter and GoodFirms. Where a figure is a vendor's own claim rather than an audited number, it is marked as publicly reported.
- Founded. Entab Infotech says it began as a computer-education business in 1993 and moved into full-time school software in 2000. Edunext Technologies was established in 2012 in Noida and launched its parent app in 2013.
- Headquarters. Entab — New Delhi, with 32 regional centres across India publicly claimed on its site. Edunext — Sector 63, Noida.
- Install base (publicly reported). Entab's website says 2,500+ schools, while older third-party listings still quote 1,300+. Edunext's public profiles say 550+ day, residential and international schools in India and the UAE, and its teacher-app listing says 1,500+ schools. Treat every figure as a vendor claim, not an audited count.
- Product line. Entab sells CampusCare, with a newer CampusCare 10X cloud generation. Edunext sells the Edunext School ERP with separate Edunext Parent and Edunext Teacher apps.
- Module breadth. Both list the full Indian ERP set — admissions, fees with an online gateway, attendance, exams and report cards, timetable, transport with GPS, library, hostel, HR and payroll, and accounts. Breadth is not the differentiator.
- Parent app. Both have Android and iOS parent apps. Edunext's app is the centre of its pitch (it markets itself as the "Talking School ERP"). Entab's app is one part of a larger suite that also includes teacher and management apps.
- WhatsApp. Edunext publicly lists a Business WhatsApp integration through which school messages reach a parent's number as WhatsApp messages. Entab's public material leads with its app and SMS; WhatsApp delivery is publicly reported but not described in detail.
- Pricing. Neither publishes a rate card. Every public listing says the price depends on modules, the number of users and customisation, and both offer a demo before quoting.
- Public reviews. On SoftwareSuggest, Edunext shows 4.7 from 24 reviews and Entab 4.4 from 8 — samples too small to decide anything, but both are positive and both praise support.
History and stability
Entab Infotech's own account is that it started in 1993 as a computer-education business in the NCR and moved into full-time school software in 2000, which makes CampusCare one of the longest-running school ERPs in India — roughly 26 years of the same product line under the same company. Edunext Technologies was set up in 2012 in Noida and built its reputation on the parent app it launched the following year.
For a buyer this matters in two ways. A 26-year product has seen every board rule change and every fee structure a school can invent, so its screens are deep and its reports are many. A 13-year product born in the app era is usually lighter to run, quicker to roll out and easier for a new office assistant to learn. Neither age is a fault; they produce different strengths, and the honest question is which strength your school will use every day.
Which schools each one is built for
Public references tell you more than sales decks. Entab's named customers are, in the main, long-established CBSE and ICSE schools in metro cities — Delhi, Kolkata, Bengaluru, Mumbai — including many decades-old convent and trust-run institutions, and its regional centres are publicly positioned as on-site support for exactly that kind of school. Edunext's visible base is heaviest in the NCR, western Uttar Pradesh and Uttarakhand, in mid-sized private schools of roughly 500 to 2,000 students, plus a set of residential and international schools and a UAE presence it lists on its own profile.
So, as a rough and publicly reported generalisation: Entab is the premium metro CBSE choice; Edunext is the mass-market NCR and UP choice. If your school sits outside those profiles — a Tier-3 town, a state-board school, a trust with campuses in three states — ask both vendors for three references that look like you, not like their best customer.
Modules, parent app and WhatsApp
On module breadth the two are close. Both list admissions, fee collection with an online payment gateway, attendance, examinations and report cards, timetable, transport with GPS tracking, library, hostel, HR and payroll, and accounts. Do not let either demo win on a module checklist; ask to see the three modules your office uses every day, with your own fee structure loaded.
The parent app is where the emphasis differs. Edunext Parent and Edunext Teacher are the centre of its pitch, and its public material describes a Business WhatsApp integration through which the school's messages reach a parent's phone number as WhatsApp messages. Entab's CampusCare parent, teacher and management apps are available on Android and iOS as part of a larger suite, and its public material leads with the app and SMS.
In the demo, ask each vendor the same question: is WhatsApp an official business channel with approved message templates and delivery reports, or a button that opens the WhatsApp app on a teacher's own phone? The answer changes what your teachers actually do at 4 pm, and it changes whether a fee reminder can carry a payment link.
Pricing model, contract and lock-in
Neither company publishes a rate card, and every public listing says the same thing: the price depends on modules, the number of users and customisation. What schools publicly report is that both are quoted per school per year rather than as a fixed per-student rate, and that add-ons — extra modules, SMS packs, gateway set-up, custom report formats, a second campus — are where the number moves after the first year. That is not a criticism of either vendor; it is how most Indian school ERPs are sold, and it is why the first-year quote is the least useful number you will receive.
Ask both for the same five things in writing: every module included and every module excluded; the annual maintenance or renewal charge and how it is capped; per-student or flat pricing and what happens when enrolment changes; the gateway and messaging charges billed at cost; and the exit terms — notice period, whether you receive a full export in a standard spreadsheet format, and whether that export costs money. A three-year commitment to any school ERP runs into lakhs for an 800-student school, so a one-page comparison of those five answers is worth an afternoon.
Support and implementation
Entab's public positioning is on-site: 32 regional centres and an implementation team that comes to the school, which suits institutions that want a person in the building for the first month. Edunext publishes a parent helpdesk reachable by call or WhatsApp on working days from 9 am to 5 pm, alongside school-side support, which suits schools whose families will phone the vendor directly. Both offer a demo, and both are publicly reported to offer a trial.
Whatever either promises, get it as a written service level: who your named contact is, how fast a fee-day outage is answered, how many training days are included, and what data migration from your current system costs. Migration is the item most often quoted separately, and the one that decides whether a March go-live is realistic.
Choose Entab CampusCare if
The pattern in public references and reviews points to Entab when the following describe your school.
- You are a long-established CBSE or ICSE school in a metro that values a 26-year vendor track record and wants on-site implementation from a regional office.
- Your office already runs deep processes — multiple fee heads per class, several concession types, detailed accounts — and you want a system with a report for each of them out of the box.
- Your management prefers a vendor with a large, visible customer list of similar schools and is comfortable with a quote-based, module-wise price.
- You want teacher, parent and management apps as parts of one suite rather than a parent app first and everything else behind it.
Choose Edunext if
The same public sources point to Edunext when these describe you.
- You are a mid-sized private school in the NCR, western UP or Uttarakhand — or a residential or international school — and parent adoption of the app is your first success metric.
- You want WhatsApp-delivered school messages as a publicly listed feature rather than something to negotiate.
- You prefer a lighter cloud system that a new office assistant can learn in days, with a vendor helpdesk your parents can call directly.
- Your budget is decided per year and you would rather grow into modules than pay for a full suite on day one.
How to decide between Entab and Edunext in two weeks
You do not need a six-month evaluation. Run both vendors through the same seven steps and the answer usually writes itself.
- Write your ten daily tasks first. Fee counter with partial payments, sibling concession, WhatsApp fee reminder with a link, monthly defaulter list, attendance in under a minute per class, term report card in your format, transport fee by route, TC generation, staff leave, principal's morning dashboard. Hand the list to both vendors before the demo.
- Demand a demo on your data. Send both a spreadsheet of 50 real students, your fee structure and one class's marks. A demo on dummy data proves nothing about your school.
- Time the fee counter. Ask the presenter to collect a part payment against two heads, apply a concession and print the receipt, and count the clicks. This is the screen your accountant lives in.
- Test WhatsApp end to end. Have a fee reminder sent to a parent volunteer's phone during the demo. Check whether it arrives as a template message with a payment link and whether the system shows delivered and read.
- Call three references that look like you. Same board, same size, same city tier. Ask each what the renewal quote looked like in year two and how migration went.
- Get the five contract answers in writing. Modules in and out, renewal cap, per-student or flat, gateway and messaging at cost, exit and export terms.
- Decide on a pilot, not a promise. Whichever vendor will run your real fee counter for one billing cycle before you sign the full term is the one taking your risk seriously.
Where Inkwelly fits
Inkwelly is the third option many schools in this comparison end up evaluating, and it is fair to say where it sits. It is younger than both — a cloud school ERP built for Indian schools where every module is included in one price of ₹49–₹199 per student per year, with no module-wise upsell to negotiate. Parent communication is WhatsApp-native, so fee reminders, receipts and circulars go out as official business messages with delivery status. Go-live can be the next working day, data migration from Entab, Edunext, Fedena, Edumarshal, MyClassboard, Teachmint or spreadsheets is ₹0, and every school starts on a 90-day pilot with a pro-rata refund if it is not working. Groups with more than one campus get one dashboard across all of them.
If you are weighing it against either vendor, the dedicated pages are more useful than a paragraph: see Inkwelly vs Entab and Inkwelly vs Edunext for the feature-by-feature view, and switching from Entab or switching from Edunext for exactly how the data comes across. The Entab CampusCare alternatives and Edunext alternatives guides cover the wider field.
“Entab sells depth and a familiar name; Edunext sells speed and a parent app. Neither publishes a price, so the contract you negotiate matters more than the demo you watched.”
Decide on evidence, not on the demo
Both Entab CampusCare and Edunext are established, well-reviewed products with real schools behind them. The mistake is not choosing the wrong one; it is choosing on a polished demo and a first-year quote, then discovering in year two what the renewal, the add-ons and the exit actually cost. Run both through the same seven steps on your own data, put the five contract answers side by side, and pick the vendor whose references look like your school. Two weeks is enough.

Frequently asked
7 questionsIs Entab better than Edunext?
Neither is better in general. Entab CampusCare is the older, deeper system (in school software since 2000, 32 regional centres publicly claimed) that long-established metro CBSE and ICSE schools choose for breadth and on-site support. Edunext (founded 2012, Noida) is the lighter, app-led system mid-sized NCR and UP schools choose for a fast rollout and a parent app with WhatsApp delivery. Pick on which of those your school is short of, and on written contract terms.
Entab vs Edunext: which is cheaper?
Neither publishes a price. Public listings for both say the quote depends on modules, user count and customisation, and schools publicly report per-school annual quotes with add-ons for extra modules, SMS packs and gateway set-up. The only way to compare cost is to get the same five things in writing from both — modules in and out, renewal cap, per-student or flat pricing, gateway and messaging at cost, and exit terms — and compare over three years, not one.
Does Edunext have WhatsApp integration?
Edunext's public material lists a Business WhatsApp integration through which the school's messages reach a parent's phone number as WhatsApp messages, and its teacher app describes sending WhatsApp messages to parents. In the demo, confirm whether it is an official business channel with approved templates and delivery reports, and whether fee reminders can carry a payment link.
How many schools use Entab CampusCare?
Entab's own website says 2,500+ schools across India; older third-party listings quote 1,300+. Edunext's public profiles say 550+ schools in India and the UAE, while its teacher-app listing says 1,500+. All of these are publicly reported vendor claims rather than audited figures, so ask each vendor for references in your board, size and city tier instead of relying on the headline number.
Which is better for a CBSE school in Delhi NCR, Entab or Edunext?
Both have strong NCR presence. Entab's public references skew towards long-established, larger CBSE and ICSE schools in Delhi that want on-site implementation and a deep suite. Edunext's visible base skews towards mid-sized private schools in Noida, Ghaziabad, Gurugram and western UP that want the parent app and WhatsApp messaging working in the first month. Ask each for three references of your size within 20 km and call them.
Can a school switch from Entab to Edunext, or from Edunext to Entab, mid-year?
Yes, if the incoming vendor migrates fee balances as opening balances on a cut-off date, re-issues the remaining invoices of the session in the new system and imports attendance and completed-term marks as history. Ask the new vendor what migration costs, how long it takes and whether your current system's export is enough — data export terms are the single biggest factor in how painful the move is.
What are the alternatives to Entab and Edunext?
The names schools usually shortlist alongside them are MyClassboard, Vidyalaya, Fedena, Edumarshal, Teachmint, Campus 365, MasterSoft and Inkwelly. Inkwelly differs in pricing model — every module included at ₹49–₹199 per student per year, ₹0 migration, next-working-day go-live and a 90-day pilot with pro-rata refund — which makes it the one to shortlist if the module-wise quote is what bothers you about the other two.
