How to award and approve a scholarship for a student in Inkwelly

This guide is for fee office clerks, accountants, and principals who run the annual scholarship cycle — committee nominations, award notifications, and application against the student's fee profile. By the end you will have awarded a scholarship to one student in Inkwelly, approved it, and seen the amount applied to the Net Payable breakdown.

To award a scholarship to a student in Inkwelly: open the student's fee profile, click the Scholarships tab, press Award Scholarship, pick the scholarship from the list (e.g. Merit Scholarship), let the system calculate the amount (e.g. 7 percent of Net Payable), add a remark and save. The scholarship enters Applied status, then a reviewer clicks the green tick to approve it. Approved scholarships subtract from Net Payable on the very next recalculation.

Scholarships in an Indian school follow an annual cycle: nomination opens at the start of the session (April), the merit committee or trust reviews applications against the published criteria, the award letter goes to the family, and the office posts the award against the child's fee profile in Inkwelly. CBSE-affiliated schools issue scholarships to roughly 3 to 8 percent of strength every year under the Single Girl Child Scholarship and merit awards (CBSE 2024 affiliation bye-laws); a 1,200-student school posts 36 to 96 scholarship awards per session — and every one of them must show up on the right invoice. Inkwelly keeps the entire cycle on one Scholarships tab — pick, calculate, approve, revoke — so the breakdown ties out to the trust's books at the end of the year.

1. Open the student's fee profile

Open Inkwelly → Student Fee → Fee Profiles. Search by admission number, roll number, or student name. Click the row to open the profile. The student's full fee picture loads — Overview, Fee Structure, Invoices, Payments, Receipts, Refunds, Cheques, Discounts, Scholarships — across the top of the detail page. The right column already shows Base fee, Late fee, Net payable, Paid, and Outstanding so you know the current liability before you award anything.

2. Click the Scholarships tab

Click the Scholarships tab in the row of tabs at the top of the profile. Inkwelly shows the list of scholarships already awarded to this student, with status pills — Applied, Under Review, Approved, Active, Suspended, Revoked. The summary strip on the card header reports Active scholarships and Total Awarded for the session. A blue Award Scholarship button sits on the top right of the card.

3. Press Award Scholarship and pick the scholarship

Click Award Scholarship. The dialog opens. From the Scholarship dropdown pick the master that matches your committee decision — for example Merit Scholarship (MERIT_ACADEMIC, 7 percent of all fee heads). Inkwelly lists only the active scholarships configured for the session. Leave the Awarded Amount field empty if you want Inkwelly to calculate it from the coverage rule, or type a fixed amount when the committee has approved a non-standard figure. Set the Applied Date to the date on the award letter; the default is today.

4. Add a remark and save the award

Fill the Remarks field with the reason that survives in the audit trail — board rank, merit percentage, RTE clause, donor letter number. Optionally set a Next Review Date six or twelve months out so the office knows when to recheck attendance or grade conditions. Click Award. Inkwelly creates the record with status Applied and shows the row in the table — Scholarship name, type, calculated amount (e.g. ₹371 if Net Payable was ₹5,300 and coverage is 7 percent), applied date, and the Applied pill.

5. Approve the scholarship

Find the row in the table. On the right of the row, a green tick button appears whenever the status is Applied or Under Review. Click the tick. The Approve Scholarship dialog opens showing the scholarship name, the current calculated amount, and the type pill. Optionally override the amount or paste the principal's approval remark, then click Approve. Inkwelly flips the status to Approved, stamps the approver and timestamp, and pushes the amount into the fee profile's scholarship total. The right-column fee breakdown now shows the scholarship subtracted from Net Payable on the next recalculation.

6. Confirm the scholarship is applied to the fee breakdown

Go back to the profile Overview. The right-side fee breakdown card now lists the scholarship line under the deductions block, the Net Payable figure drops by the awarded amount, and the Scholarships tile in the Overview row shows the running total for this student. Open the next pending invoice — the Collect dialog and the parent-facing receipt automatically reflect the reduced amount, and the trust ledger captures the scholarship as a non-cash settlement. To revoke later (graduation, eligibility loss, donor pullback), open the same Scholarships tab and click the red revoke button on the Approved row; Inkwelly asks for a reason and reverses the amount cleanly with a full audit trail.

How much scholarship can an Indian school award without breaking RTE or board rules?

There is no upper limit on merit, sports, or donor-funded scholarships — schools post them freely as long as the award is recorded against published criteria. Under the RTE Act 2009 every CBSE-affiliated school must reserve 25 percent of Class 1 entry seats for EWS and disadvantaged children and waive their fee in full, which Inkwelly handles via the RTE module rather than the scholarship module. NTSE, NMMS, and Single Girl Child awards from CBSE follow fixed amounts published by the board each year. Trust-funded scholarships above ₹1 lakh per child per year should carry committee minutes for IT audit.

Can a student receive more than one scholarship in Inkwelly?

Yes. Inkwelly lets one student carry multiple scholarships in parallel — for example a merit scholarship at 7 percent and a donor-funded scholarship for a fixed ₹5,000. Each award sits on the Scholarships tab as its own row with its own status, dates, and audit trail. The fee breakdown shows the combined deduction and Net Payable drops by the sum of all approved scholarships. The trust ledger can then split the totals by donor or scheme at year-end.

Scholarship revoke kaise kare bich session me?

Profile ke Scholarships tab par Approved row dhundhiye, dayein taraf laal Revoke button (X icon) dabaiye. Inkwelly reason maangega — graduation, eligibility loss, ya donor pullback. Reason fill karke confirm kijiye. Status Revoked ho jayega, scholarship amount profile se hat jayegi, aur agle recalculate me Net Payable wapas pure amount par aa jayegi. Pichhle invoice unchanged rehte hain — sirf aage ke billing par asar hota hai aur audit trail me revoke entry permanent rehti hai.

Does Inkwelly auto-calculate the scholarship amount or do I type it?

Both. Every scholarship master in Inkwelly carries a coverage rule — for example 7 percent on all fee heads, or a fixed amount, or a fee-head-specific percentage. When you leave the Awarded Amount field empty in the Award dialog, Inkwelly applies the coverage rule against the student's Net Payable and shows the calculated figure on the row immediately. When the committee approves a non-standard amount, type it in the field and Inkwelly uses that override instead. The Approve dialog also has an override field for the principal.

Will the parent see the scholarship on the receipt and the WhatsApp invoice?

Yes. The next invoice generated for the student includes a scholarship line in the deductions block. The PDF receipt printed at the counter and the WhatsApp invoice sent to the parent both show the original gross amount, the scholarship line, and the reduced Net Payable, so the family sees exactly how much of the bill the school or donor has waived. Earlier paid invoices are not retroactively edited — they sit as historical records with their original amounts intact.
