How to send a fee receipt on WhatsApp, SMS or email

For fee counter staff, accountants and principals who collect a payment and want the parent to have the receipt within minutes. By the end you will send any Inkwelly fee receipt to the parent or student on WhatsApp, SMS or email, with the PDF attached and a short personal note.

To send a fee receipt in Inkwelly: open Student Fee → Receipts, click the receipt to open it, click Send on the top right, pick the parent or the student, tick WhatsApp, SMS or Email, leave the PDF attached, and click Send. Inkwelly delivers the receipt instantly and stamps the time, channel and recipient on the receipt history.

A parent who receives the fee receipt on WhatsApp within minutes of paying trusts the school more than one who is handed a paper slip and has to keep it safe for a year. WhatsApp messages reach Indian parents at over 95% delivery, transactional SMS sits near 80% even on basic phones, and email lands at roughly 50% — sending on all three together covers the long tail. The moment of payment is the highest-trust touch a fee counter ever has; Inkwelly turns that moment into a digital record the parent can search for at audit time, board admission time or scholarship time.

1. Open the Receipts page

Open Inkwelly → Student Fee from the left sidebar, then click Receipts under the COLLECTION section. The Receipts page shows every paid and partial receipt for the current session — receipt number, student, class, amount, payment mode and date. Use the search bar to find the receipt by student name, admission number or receipt number. Most schools issue 200 to 1,500 receipts per month, so search beats scrolling.

2. Open the receipt detail

Click the row to open the receipt detail page. The header shows the student photo, class, parent name, receipt number, amount paid, payment mode and the linked invoice. The top-right action bar shows Send, Print, PDF and Cancel. Inkwelly auto-creates this receipt every time a payment is recorded, so it is already board-compliant and signed — you only have to deliver it.

3. Click Send and choose the recipient

Click the Send button in the top-right action bar. Inkwelly opens the Send receipt dialog with the student identity card at the top — name, class, photo and receipt number. The Send to row has two pills: Parents and Student. Keep Parents selected for the common case. Switch to Student only for class 11–12 day-scholars who pay their own fees and have their own phone number on the profile.

4. Pick one or more channels

The Channels row shows four chips: WhatsApp, SMS, Email and App. Click each chip you want to deliver to — they multi-select with a tick. WhatsApp is the highest-reach channel for Indian parents; SMS is the safe backup for parents without smartphones; Email is for the official record. App pushes the receipt as a notification inside the Inkwelly parent app. Picking two or three together is normal — the parent gets one delivery per channel and a single send action covers all of them.

5. Confirm the PDF, add a note, and Send

The PDF attached chip is on by default — leave it on so the parent can save or forward the receipt later. Click Add a note if you want to type a short personal line (under 500 characters) that appears above the receipt; useful for late payments or term-end thank-you messages. Click Override recipient only if the parent has just changed numbers and the new one is not in the profile yet. Click Send on (channels) at the bottom. Inkwelly fires the messages, shows a success toast and closes the dialog.

6. Verify the send in the receipt history

The receipt detail page refreshes and the Sent activity row shows the timestamp, the recipient (parent or student), the channels (WhatsApp, SMS, Email or App) and the delivery status. If WhatsApp delivers as Read or SMS as Delivered, the row updates within seconds. If a delivery fails — wrong number, blocked sender, full inbox — the row shows Failed and the reason, and you can hit Send again with a corrected phone or email.

Can I send a fee receipt to a parent on WhatsApp directly from Inkwelly?

Yes. Open the receipt in Inkwelly → Student Fee → Receipts, click Send on the top right, tick the WhatsApp channel, leave the PDF attached, and click Send. The parent receives the receipt with the school logo, student name, amount and PDF in seconds. A WhatsApp Business sender must be connected in Communications → Channels first.

Can I send the same receipt on WhatsApp, SMS and email together?

Yes. The Channels row in the Send receipt dialog multi-selects — tick WhatsApp, SMS and Email together and click Send. Inkwelly delivers one message on each channel and stamps a single Sent row in the receipt history with all three channels listed. Most fee counter staff send WhatsApp and SMS together, and email only for board audit copies.

Aaj ke version me Send button per-receipt hai — ek baar me ek receipt parent ko jaati hai. Agar aapko ek installment ke 200 receipts ek saath bhejni hain, Receipts page par filter laga ke (Pending follow-up, ya date range), Send to Parent kebab-menu se per row click kijiye. Aage aane wale releases me bulk-send queue add ho rahi hai.

What if the parent has changed their phone number — can I send to the new one without editing the student profile?

Yes. In the Send receipt dialog, click the Override recipient pill below the channels row, type the new phone number in the box, and click Send. Inkwelly uses that number for this send only — the student profile is not changed. To make the new number permanent, edit the parent contact on the student profile afterwards.

Does Inkwelly attach the receipt PDF or just the receipt number?

By default the PDF attached chip is on, which means the WhatsApp and email deliveries carry the full PDF (school header, student name, amount paid, payment mode, board-compliant signature). SMS does not carry attachments — Inkwelly sends a 160-character summary with the receipt number, amount and a link to the PDF on the parent portal.

How do I know the receipt was actually delivered to the parent?

After Send, the receipt detail page refreshes and the Sent activity row shows the channels and a delivery status: Sent, Delivered, Read (for WhatsApp), or Failed with a reason. Inkwelly updates the status within seconds for WhatsApp and SMS as the provider returns delivery reports. Failed sends can be retried with a corrected number or a different channel.
