How to mark a cheque as deposited to the bank in Inkwelly
This guide is for the school cashier or office head who collects cheques across the week and takes them to the bank in a single deposit batch — usually every Monday morning. By the end you will have the cheque marked Deposited in Inkwelly with the deposit date and bank account on record, so the cheque pipeline on the Student Fee dashboard tracks the cheque accurately while it sits with the bank for clearing.
To mark a cheque as deposited in Inkwelly: open Student Fee then Cheques, switch to the Pending tab, click the kebab menu on the cheque row and pick Deposit, enter the deposit date and the school bank account, then click Deposit Cheque. Inkwelly flips the cheque status from Received to Deposited, stamps the deposit date on the audit trail, and the Cheque Pipeline tile on the Student Fee dashboard moves the cheque one stage forward. The clearing or bouncing call is a separate step the office runs once the bank confirms.
Cheque deposit is the second of three lifecycle steps for every school cheque in Inkwelly: Received at the counter, Deposited at the bank, then Cleared or Bounced after the bank's clearing window. Marking the cheque Deposited is not just a status change. It tells the office head when the cheque left the school's hands, captures which bank account it went into, and triggers the clearing-window countdown on the Cheque Pipeline tile. The Reserve Bank of India requires every bank to publish a Cheque Collection Policy with named local, outstation and CTS clearing windows; most local cheques in CTS-enabled centres clear in T+1 working day, outstation cheques take three to seven working days. A 1,200-student school typically runs two deposit trips a week and clears 250 to 400 cheques per academic year; without a tracked deposit date, a lost cheque or a delayed bank entry has no audit trail to pull on.
1. Open Student Fee and click Cheques
Open Inkwelly then Student Fee from the left sidebar. Under the COLLECTION group, click Cheques. The cheques page opens with four KPI tiles across the top, Total Cheques, Pending Deposit, Cleared and Bounced, and three tabs below: All Cheques, Pending and Post-Dated. The Pending Deposit KPI is the count you are about to work through. A green badge on the Pending tab repeats the same count for quick orientation.

2. Switch to the Pending tab to see undeposited cheques
Click the Pending tab. Inkwelly filters the table to cheques in the Received state, the ones collected at the counter but not yet taken to the bank. Each row shows the cheque number, the student and class, the bank, the amount, the cheque date, and a Received status pill in amber. Use the search bar at the top to find a specific cheque by number or student name when the list runs long, or use the class filter to group a deposit batch by section before the bank trip.

3. Open the kebab menu on the cheque row and click Deposit
Find the cheque you took to the bank and click the kebab icon (three vertical dots) at the right end of its row. The actions menu opens with one option for a Received cheque, Deposit, with a downward arrow icon. Click Deposit. Inkwelly opens the Deposit Cheque dialog with the cheque's number, amount, bank, cheque date and account holder summarised at the top in a sunken card, so the cashier can double-check the physical cheque against the entry before saving.

4. Enter the deposit date and the school bank account
The Deposit Cheque dialog has three input fields. The Deposit Date field is mandatory and prefilled with today; change it only if the trip to the bank was on a different day. Type the school bank account label into the optional School Bank Account field; keep a fixed naming scheme such as SCHOOL-SBI-001, HDFC-MAIN or AXIS-CURRENT so the Reports module can group deposits by account. Use the Remarks field for any context the auditor will want later, such as the deposit slip number, the branch the cheque went to, or that the cheque is for the Class 9 hostel batch.

5. Click Deposit Cheque to save and watch the status flip
Review the deposit date, the bank account and the remarks one last time, then click the green Deposit Cheque button at the bottom right of the dialog. Inkwelly writes the deposit event against the cheque, moves it from the Received state to the Deposited state, stamps the deposit date on the audit trail, and closes the dialog. A success toast confirms Cheque deposited successfully. The row drops off the Pending tab; the cheque now lives on the All Cheques tab with the Deposited status pill in blue, and the Pending Deposit KPI count drops by one. The same cheque is also visible on the student's fee profile under the Cheques tab with the new state.

6. Confirm the cheque on the Cheque Pipeline dashboard tile
Open Student Fee from the left sidebar to return to the dashboard. Scroll to the Cheque Pipeline tile, a horizontal funnel with four stages: Received, Deposited, Cleared and Bounced. The cheque you just deposited has moved one stage to the right. The Deposited count tile now reads one more than it did this morning, and clicking the tile opens the All Cheques tab filtered to Deposited so the office head can audit the full deposit batch in one view. Once the bank confirms clearing, the same cheque is marked Cleared from this same row; that flow is the next LEARN in this cluster.

Next, wait for the bank's clearing window, usually one working day for local CTS cheques and three to seven for outstation. Can I mark several cheques as deposited together in one batch?
Right now Inkwelly processes the deposit one cheque at a time so the office can verify the deposit date and bank account per cheque against the deposit slip; this catches the common mistake of one cheque from the batch being misplaced before reaching the counter. To make the batch trip fast, sort the Pending tab by class or by bank, work top-down through the deposit slip, and keep the same school bank account label across the batch so reconciliation reports group them together.
What if I marked a cheque deposited on the wrong date by mistake?
Open the cheque from the Cheques page, view the audit trail under the cheque detail page, and reach out to the school admin to correct the deposit date; the cheque cannot be silently rolled back to Received once a deposit event is on the audit trail. This guard exists because Section 138 of the Negotiable Instruments Act treats the deposit date as evidence in a bounce dispute, so Inkwelly preserves every deposit event end-to-end.
