How to create a fee structure for the academic session
For school accountants and principals setting up fees at the start of a new academic year. By the end you will have a saved fee structure in Inkwelly with classes, line items per fee head, and dated installments ready to assign to a fee group.
To create a fee structure in Inkwelly: open Student Fee → Configuration → Fee Structures, click Add Structure, enter a plan name and total amount, pick the applicable classes, open the structure to add line items per fee head, then add installments with due dates. A complete annual structure for one class takes about five minutes and becomes the source the invoice generator uses for every student in that class.
A fee structure is the master plan that drives every invoice for a class. Most Indian CBSE and state-board schools maintain three to five structures per session — one per class band such as KG–Class 3, Class 4–5, Class 6–8, Class 9–10, Class 11–12 — because the tuition and activity fees differ. A school of 1,200 students typically issues 4,800 invoices a year against these structures; getting the master right at the start saves the office hundreds of corrections later. A typical KG–3 plan in a Tier-2 day school sits between ₹5,000 and ₹25,000 a year, split across Tuition, Transport, and Activities.
1. Open Fee Configuration
Open Inkwelly → Student Fee from the left sidebar, then click Configuration under SETUP. The Fee Configuration page lists four sections: Fee Structure, Discounts, Penalties & Refunds, and Preferences. The Fee Structure section is the one you want, and inside it the Fee Structures tile is what holds every annual plan for the session.

2. Open the Fee Structures tile
Click Open on the Fee Structures tile. Inkwelly shows the list of every structure already defined for this session along with the count of installments, students covered, and total amount on each card. The top right of the page has the Add Structure button — that is where every new annual plan begins.

3. Click Add Structure and fill plan basics
Click Add Structure. In the dialog, enter a clear name such as Annual 2025-26 — Class 1 to 3 so the office can recognise it on every invoice. Pick the fee cycle — Annual is the default for most Indian schools, Monthly suits hostel and transport-only plans. Enter the Total Amount for one student for the whole session, keep Currency as INR, and leave Proration as None unless mid-session joiners need partial billing.

4. Pick applicable classes and categories
In the same dialog, click the Applicable Classes selector and tick the classes this structure covers — for example Nursery, KG, Class 1, Class 2, Class 3. Leaving it empty means it applies to every class, which is rarely correct. If your school charges different fees by category (General, OBC, SC, ST, EWS, NRI), pick those too. Toggle Active on and click Create. Inkwelly saves the structure and opens it.
5. Add line items per fee head
On the structure detail page, the Items tab is selected by default. Click Add Item, pick a Fee Head (Tuition, Transport, Library, Lab, Activities, Examination), enter the amount for that head, set the frequency, and save. Add one row per head. The sum of these line items should match the Total Amount in the summary card at the top — Inkwelly shows the running total as you add items.

6. Switch to Installments and add due dates
Click the Installments tab. Click Add Installment, name it (Q1 — April-June, Q2 — July-September, and so on), pick the due date, and enter the amount for that installment. Most Indian schools use four quarterly installments; some use ten monthly or one annual lump sum. Repeat until the installment amounts add up to the structure total. The Installments tab shows a chip per installment with its due date and a Due-in-N-days countdown.

7. Review and assign to a fee group
Go back to the Fee Structures list. The summary card now shows the installment count, item count, and Active badge. Open Fee Groups from the Configuration page and attach this structure to a fee group, then map the group to the classes it covers. The next time you open the Invoices → Generate page, the structure will appear under Per-Structure cards ready for bulk invoice generation.

Can I change a fee structure after invoices are already generated?
Yes, but with care. Inkwelly lets you edit the structure name, line items, and installments at any time. However, invoices that are already generated against the old structure are not auto-rewritten — you either recalculate the affected student fee profiles or cancel and regenerate those invoices. For mid-session price changes, most schools clone the structure, mark the old one Inactive, and assign the new one going forward.
How do quarterly installments map to Indian school terms?
The most common pattern is Q1 (April–June, due 10 April), Q2 (July–September, due 10 July), Q3 (October–December, due 10 October), Q4 (January–March, due 10 January). CBSE and most state boards align to the April session start. Some schools use ten monthly installments instead, skipping May and December. Inkwelly supports both — set the due date per installment and the late-fee rule does the rest.
