What is a school store management system?

Uniforms, books, kits. From stock to the student.

A school store management system is software that runs the school's own shop — uniforms, books, stationery and class kits, from stock to the student. In Inkwelly, parents order and pay in the app and collect with a pickup pass, staff sell at the counter or issue to a whole class on credit, and every sale updates the stock, the dues and the school's books.

Also called school inventory management software, a school uniform and book shop system, or school store POS.

Why schools move the uniform and book shop to an app

Queues. Registers. Udhaar. Or one app.

On paper, the school store means a queue every term, a stock register nobody trusts and credit nobody chases. In Inkwelly it keeps itself.

How most school stores run today

A queue at the counter. A register. A notebook of udhaar.

  • Parents queue at the counter, often for a size that's run out
  • Stock lives in a register, counted by hand before every term
  • Credit sales go in a notebook — and are hard to chase
  • Cash memos are written by hand and typed again by the accounts office
  • Nobody knows an item is running low until it's gone

With Inkwelly

Ordered in the app. Collected with a pass. Counted by itself.

  • Parents order and pay in the app, then collect with a pickup pass
  • Every sale, return and delivery updates the stock by itself
  • Credit sales become dues on the child's name, with reminders
  • Invoices and receipts are PDFs, and store money reaches the Money Book
  • Low-stock items are flagged before they run out

Parents order uniforms, books and kits in the school app

Order in the app. Collect at school.

Parents see only what the school opens for their child's class — the kit, the required items, the right sizes. They pay online, get a pickup pass, and hear on WhatsApp when it's ready.

  1. 1Pick the kit and sizes
  2. 2Pay in the app
  3. 3Collect with the pass

Sample school. Parents pay through the school's Razorpay account. Messages go on the channels your school turns on — WhatsApp, SMS, email or the app.

Pickup counter, counter sales, store dues and stock for the school store

Sell. Hand over. Know what's left.

Scan a pickup pass and hand the bag over. Ring up a counter sale, or give it on credit. Remind a family in one click. Watch every size go down as it sells.

The Fulfilment screen: Aarav Sharma's pickup pass is scanned, his paid order of 8 items comes up and is fulfilled, and his parents are told on WhatsApp

Issue books, notebooks and kits to a whole class on credit

A whole class. One click.

Pick the set, pick the class, untick anyone who's sorted. Each child gets an order on credit, the family hears what's due, and they can pay in the app.

  1. 1Pick the set
  2. 2Pick the class
  3. 3Issue — families are told

Sample school. Families pay the due in the app or at the counter; automatic reminders go out only if your school turns them on.

GST invoices, UPI, udhaar and Hindi for Indian school stores

Made for Indian schools. And their stores.

The taxes, payments, credit and languages an Indian school store works with — already there.

  • GST invoice, or a bill of supply

Turn GST on with your GSTIN and HSN codes and each sale gets a tax invoice with the CGST and SGST breakup, plus a GST summary by rate. Off, it's a bill of supply.

  • UPI, cash, card or cheque

Parents pay online in the app. At the counter, take cash, UPI, card, a bank transfer or a cheque with its number.

  • Udhaar, without the notebook

Hand the items over now and collect later. Every credit sale becomes a due on the child's name, with reminders if you want them.

  • The class set, in one go

Issue books or notebooks to a whole class in one run. Each child gets an order, and each family is told what's due.

  • English and Hindi messages

Order, pickup, receipt and dues messages reach parents in English or Hindi, on WhatsApp, SMS, email or the app.

  • April-to-March numbering

Orders, invoices, receipts and purchase orders are numbered by the Indian financial year — ORD/2026-2027/00412.

The school store for parents, the store counter, the storekeeper and accounts

One store. Everyone in step.

Each person sees what their role allows — nothing more.

  • Parents

Order the class kit and sizes in the app, pay online and collect with a pickup pass — and pay store dues or ask for a size exchange from the same screen.

  • Store counter

Sells to students or walk-in buyers, takes cash, UPI or card, scans pickup passes and hands orders over.

  • Storekeeper

Keeps the stock right: goods receipts, transfers, counts and adjustments, with low-stock items flagged before they run out.

  • Principal & accounts

Sales, dues, GST and stock value in reports — and every store payment in the Money Book by itself.

Ask Inkwelly AI about the school store, in English or Hindi

Ask about the store. Get names and numbers.

Ask in English, Hindi or Hinglish. Inkwelly AI reads your store — sales, stock, dues, who has bought what — and answers with names and numbers, or makes the Excel.

Try

It answers. It also does the paperwork.

  • Spot

    Who owes the store.

It finds the families with store dues — biggest first, across every class — so the counter knows whom to remind.

  • Reports

    Excel or PDF, in seconds.

Ask for any list or summary — sales, GST, stock value — and download it as a file.

  • Cards

A child's store history, in the chat.

Orders, what's paid and what's due — with a button to the store profile.

  • Letters

A no-dues letter, on your letterhead.

It drafts the letter from the child's store record. You check it, then it issues the PDF with a serial number.

  • How-to

“How do I give items on credit?”

Clear steps for any task, with a button to the right page.

School store software: questions schools ask.

  • A school store management system is software that runs the school's own shop — uniforms, books, stationery and class kits, from stock to the student. In Inkwelly, parents order and pay in the app and collect with a pickup pass, staff sell at the counter or issue to a whole class on credit, and every sale updates the stock, the dues and the school's books.

  • In the School Store in the Inkwelly app. They see the items the school has opened for their child's class, pick sizes, add the class kit and pay online. A pickup pass appears the moment the payment goes through.

  • Yes, when the school sets it up. Each item can be shown to a class, section, grade or gender — a Class 6 kit only to Class 6, a skirt only to girls. Required items and the class kit show at the top.

  • Online in the app, through the school's Razorpay account. Dues from counter sales can be paid in the app too, or at the counter.

  • Every paid order gets a pickup pass — a QR code and a six-character pickup code. When the store marks the order ready, the family is told on WhatsApp, SMS, email or the app. At the counter, staff scan the pass on the Inkwelly app or the portal and hand the order over.

  • No. Orders are collected at the school store, so there is no delivery to arrange and no shipping wait for parents.

  • Yes. Staff ring up a sale for a student or a walk-in buyer and take cash, UPI, card, a bank transfer or a cheque — or hand the items over on credit.

  • Yes. Choose Issue on credit and the items go with a due on the child's name. The Dues screen lists every balance by student with Collect and Remind, families can pay in the app, and automatic reminders every 7 days (or the gap you set) are there if you turn them on.

  • Yes. Distribute picks the items and the class, lets you untick anyone who shouldn't get them, and issues one order per child on credit — with live progress and a retry for any that fail. Each family is told what was issued and what's due.

  • When a parent checks out, the stock is held for 15 minutes (you can change it), and online sales can't take an item below zero. At the counter, an out-of-stock item is blocked unless someone with the right permission chooses to issue it anyway.

  • Every sale, return, goods receipt, transfer and adjustment is a line in the stock ledger, with who did it and why. A mistake is fixed with a new line, never by editing an old one, and cycle counts post any difference.

  • Yes. Each item has a reorder point, and anything at or below it is flagged as low stock on the store dashboard, the stock screen and the low-stock report.

  • Yes. Keep your suppliers, raise requisitions for approval, turn them into purchase orders and record each delivery as a goods receipt. Posting the receipt is what adds the stock.

  • Yes, once you turn GST on with your GSTIN, state code, HSN codes and tax rates: each sale gets a tax invoice with the CGST and SGST breakup, and there's a GST summary by rate. With GST off, the store issues a bill of supply. Invoices and receipts download as PDF.

  • Parents ask for a return or a size exchange in the app. The store approves it, receives the item and puts it back on the shelf if it's sellable. Refunds are approved, then processed — money paid online goes back to the original method.

  • No. Store money is its own ledger — fee receipts and fee dues aren't touched. Store payments and refunds reach the Money Book under their own heading.

  • Store Manager, Storekeeper and Store Cashier roles come ready-made — a cashier sells and hands over, a storekeeper looks after stock and deliveries, a manager approves. You can make your own roles too.

  • Yes, on the Premium plan. Ask “aaj kitna sale hua?”, “which items are running low?” or “6-B me kisne sweater nahi liya?” in English, Hindi or Hinglish, and get names, numbers or an Excel. The AI reads the store; your staff sell and collect.

  • Yes. Inkwelly works in English and Hindi, and parents get store messages in English or Hindi.

  • School Store & Inventory comes with the Premium plan, at ₹199 per student per year (GST extra). Plans run ₹49–₹199 per student per year, with ₹0 migration, training and setup.
