How to configure student admission settings in Inkwelly
For school admin staff and IT heads who own student records. By the end you will have configured School Code, Student ID auto-generation, Admission Number format, and Roll Number auto-assignment so every new admission gets a clean, board-ready identifier.
Open Inkwelly, go to Students, then Settings. Type your School Code (3 to 20 letters or digits — Inkwelly uppercases as you type). Switch on Student ID Auto-Generation and Admission Number Auto-Generation, then click the chips below the format field — PREFIX, SCHOOL, YEAR, FY, SEQ, dash, slash — to assemble the pattern your office already writes. Set how many digits the running number should use, set the Roll Number starting count, watch the live Preview, and click Save Settings. That single setup runs for every admission this session.
Indian schools start a fresh batch of admission numbers every academic year, and CBSE Bye-Laws (Chapter VI) require every school to keep a permanent admission register where every child has a unique, sequential identifier. UDISE+ also expects each school to keep a stable school code so APAAR IDs and inter-school transfers line up neatly. A 1,200-student school usually admits 200 to 240 new children each session — that is 200 admission numbers, 200 student IDs, and 200 roll numbers Inkwelly issues without anyone in the office typing a single one.
1. Open the Students Settings page
In Inkwelly, click Students in the left menu, then click Settings. The page opens with three cards stacked top to bottom — School Code, Auto-Generation Settings, and Roll Number Auto-Assignment. The link is visible only to principal, registrar, or super-admin accounts; if a class teacher or clerk cannot see it, that is by design — ask the principal to open the page. The settings you change here apply to the school and academic session shown in the top bar, so check the session before you start.
2. Set your School Code
In the first card, type the short code your school uses on letterheads, ID cards, and UDISE filings — between 3 and 20 letters or digits. Inkwelly uppercases the value as you type, so writing dps turns into DPS automatically. Common patterns office staff recognise are DPS, KV01, DAV12. This is the value Inkwelly drops in wherever the SCHOOL chip appears in your formats below, so set it before you build the format.
3. Switch on Student ID Auto-Generation and pick a format
In the second card, switch Student ID Auto-Generation on. Inkwelly suggests sensible defaults — prefix STU, format PREFIX-YEAR-SEQ with a 4-digit running number — so your school's first ID looks like STU20260001. The chips below the format field — PREFIX, SCHOOL, YEAR, FY, SEQ, dash, slash — let you assemble the format your office already writes. For example, click SCHOOL, slash, YEAR, slash, SEQ to get DPS/2026/0001. The Preview tile next to the chips updates as you click, so you see the next ID before saving.
4. Set up the Admission Number format
Staying on the same card, switch Admission Number Auto-Generation on. Inkwelly suggests prefix ADM and format PREFIX-slash-FY-slash-SEQ with 4 digits, which prints as ADM/2026-27/0001. Use the FY chip if your admission register goes by financial year (April to March), and the YEAR chip if you record admissions by calendar year. Most schools running the April-March session pick FY because that matches what the principal signs off in the register. The Preview tile shows the next admission number live as you click chips.
5. Set the Roll Number starting count
Open the Roll Number Auto-Assignment card. The Starting Number field decides what roll number the first child in each class gets — the default is 1. Inkwelly then numbers the rest of the class one by one as students are admitted. Schools that reserve roll number 0 for the class teacher, or schools that begin Class XI at 101, should change this number before admitting the first student of the session. Children already on the roll keep their existing numbers — Inkwelly does not renumber them.
6. Check the Preview tile
Look at the Preview tile next to each format. It shows the exact ID and admission number Inkwelly will print on the next admission, using the values you just set. Confirm the school code, the year, and the running number all look right — for example DPS2026-0001 for the Student ID and ADM/2026-27/0001 for the admission number. If something looks off, click the wrong chip again to remove it and pick another. The preview is a read-only view of what the next admitted child will receive.
7. Click Save Settings
Click the Save Settings button at the bottom of the page. Inkwelly remembers your School Code, both Auto-Generation switches, both formats, both digit counts, and the roll number starting count, then shows the green toast Admission settings saved successfully. From the very next admission, Inkwelly prints IDs and admission numbers in the format you just chose. Children already in your school keep their original numbers — only the new admissions follow the new pattern.
Common pitfalls
- Changing the School Code after building the format — change the School Code first, then look at the Preview tile again. The SCHOOL chip pulls the latest code at admission time, so a stale code will show up on the next student's record.
- Mixing up YEAR and FY — YEAR shows 2026, FY shows 2026-27. Schools running the April-March session almost always want FY in the admission number.
- Choosing too few digits — 2 digits cover only up to 99 admissions in a cycle. Stick to 4 (the default), or pick 5 if your cohort runs above 1,000 children.
- Forgetting to switch the toggle on — both Auto-Generation switches start in the off position. Build a beautiful format but leave the switch off, and your office staff still has to type IDs by hand.
- Changing the roll number starting count mid-session — Inkwelly applies the new starting count only to children admitted after the change. Existing roll numbers in those classes stay the same.
- Forgetting Save Settings — the page does not save by itself. Click Save Settings before you leave the page or your changes are gone.

If you cannot see Students then Settings in your menu, ask the principal or org admin to give your account the right level of access in Inkwelly. Class teachers and front-desk clerks usually do not need this — only the registrar and IT head do.
Where do I set the academic year for admissions in Inkwelly?
Not on the Students Settings page. The academic year is the session selector in the top bar of every Inkwelly screen. Pick the right session there before admitting students. Admission settings then follow that session — the YEAR and FY chips show values from the session you have selected.
