Parents ask the school office for bonafide certificates all year — for scholarships, bank accounts, Aadhaar updates, rail concessions and a parent's Children Education Allowance. This guide gives ready-to-use English and Hindi wording for a bonafide certificate and a character certificate, what each must contain, when an authority's own form replaces yours, and how to stop forged copies.
It is the second week of July in a school office in Jaipur. A father needs a bonafide certificate for his daughter's scholarship form, due tomorrow. Another parent needs one to open a bank account for her son. The clerk opens an old Word file, types over last year's name, prints it on letterhead and walks it to the principal for a signature. There is no reference number and no copy kept. Three months later a bank manager calls to check a certificate the school never issued: someone had reused the same file with a scanned signature. The school cannot prove what it did issue, because it never wrote anything down.
The format is the easy part. Any school can write three honest sentences on its letterhead. What makes a bonafide certificate trustworthy is the discipline around it: details copied from the admission register rather than the parent's form, a stated purpose, a serial number, an issue register, and a way for whoever receives it to check that it is real. What a bonafide certificate is (and what it is not)
A bonafide certificate is a letter from the head of a school confirming that a named child is a genuine, regular student of the school in the current session, in a stated class, with details taken from the school's own admission register. ‘Bona fide’ simply means genuine. It is not a transfer certificate, which is issued when a child leaves, and it is not a character certificate, which speaks to conduct. Names vary by region: many southern schools call it a study certificate, Hindi-medium schools often call it an अध्ययनरत प्रमाण पत्र, and in Maharashtra the leaving document is the School Leaving Certificate. Parents usually need one for a handful of reasons:
When parents ask for a bonafide certificate
- Scholarship applications, including schemes on the National Scholarship Portal, which provides its own form for the head of the institute to sign and stamp.
- Opening a bank account for a minor, where many banks accept a school's certificate as supporting proof.
- Aadhaar enrolment or update for a student, using UIDAI's own standard certificate that the head of a recognised school can sign.
- Indian Railways student concession for travel home in the vacations, on the railway's form signed by the head of the institution.
- Children Education Allowance for central government employees, which is claimed with a certificate from the head of the institution.
- Caste, income or domicile certificate applications at the tehsil, where the office wants proof that the child studies locally.
- Registration for sports trials, olympiads and competitions that accept only enrolled school students.
- Visa, passport-related or travel paperwork for families moving abroad, where a proof-of-enrolment letter is asked for.
Bonafide certificate format for school students
Print this wording on the school letterhead. Fill every bracket from the admission register, not from the parent's application, and keep the date of birth exactly as the register shows it.

What every bonafide certificate must contain
- The school's full name and address, with its affiliation or recognition number and UDISE code on the letterhead.
- A reference number from the school's own series and the date of issue.
- The student's full name exactly as it appears in the admission register, spelled the way official documents spell it.
- The names of both parents, which many offices use to match the certificate with other documents.
- Class, section and academic session, so the reader knows the status is current.
- The admission number — called the scholar register or SR number in many north Indian schools.
- Date of birth as recorded in the admission register, written in words as well if the receiving office asks for it.
- A purpose line ending in ‘only’, so a certificate issued for a scholarship cannot quietly be used for something else.
- The signature, name and designation of the head of the school, with the school seal.
- A photograph signed and stamped across its edge, only where the receiving authority asks for identity proof.
Character certificate format for school students
A character certificate is usually issued when a child leaves the school, alongside or after the transfer certificate, and is most often needed for college admission. It describes the period of study and the child's conduct in that time — nothing more. Write only what the school's records support.

If the school's transfer certificate already carries a conduct entry, keep the two consistent: a TC that says ‘satisfactory’ next to a character certificate that says ‘excellent’ invites questions neither document can answer.
Bonafide and character certificate format in Hindi
Hindi-medium and state-board schools often issue both documents in Hindi. The same rules apply: details from the admission register, a purpose line, a reference number and the head's signature and seal.

When the receiving authority's form replaces yours
Several offices do not want the school's own format at all. They supply a form and ask the head of the school to fill, sign and stamp it. Using your letterhead instead gets the application sent back.

Aadhaar enrolment or update. UIDAI publishes a standard certificate that the head of a recognised educational institution may sign for the institution's own students. It is printed on plain A4 paper and need not be on letterhead, the student's photograph must be cross-signed and cross-stamped, there must be no overwriting, and it is valid for three months from the date of issue.

National Scholarship Portal. Where a scheme asks for a bonafide certificate — typically when the school is outside the student's home state — the portal provides the form. The school signs and stamps it, and the family uploads it.

Railway student concession. The railway's application form carries a certificate for the head of the institution to sign, for travel to the home town during vacations. Ask the family to bring the form rather than a letter.

Children Education Allowance. Under the Department of Personnel and Training's order of 17 July 2018, central government employees claim CEA with a certificate from the head of the institution confirming that the child studied in the school during the previous academic year; many departments print their own format for it. If the school cannot give one, a self-attested report card or fee receipts for the year are accepted instead.
Application for a bonafide certificate (for parents)
Most schools ask for a short written request, which also gives the office a record of who asked and why. A parent can use this:

How to stop forged bonafide certificates
Fake school certificates are cheap to make: a scanned signature, an old file and a colour printer. What makes them hard to pass off is a system the forger cannot copy. Forgery and using a forged document as genuine are offences under Sections 336 and 340 of the Bharatiya Nyaya Sanhita, and knowingly signing a certificate that is false in a material point can fall under Section 234 — so the school's protection is also the principal's. Build these habits:
- Number every certificate from one series. A reference such as BC/2026-27/0041 that follows the last one issued, never a number typed by hand.
- Keep an issue register. Serial, date, student, purpose, who prepared it and who signed it — on paper or in software, but always.
- Copy details from the admission register. Never from the parent's application; a mistake in a date of birth follows a child for years.
- Write the purpose and the word ‘only’. It limits how the certificate can be used.
- Never keep pre-signed letterheads in a drawer. A signed blank page is a certificate waiting to be forged.
- Give receivers a way to verify. A QR code or a phone number the bank, scholarship officer or college can use to confirm the serial and date.
- Mark duplicates and cancel, never reuse. A second copy is marked DUPLICATE; a wrong certificate is cancelled with a reason, and its number is not given to anyone else.
The options you will run into
Most schools begin with a Word template, often downloaded from sites like pdfFiller or Scribd, which solves the wording and none of the discipline. When you compare them, ask four questions: does every certificate get a number from one series automatically, is there an issue register you can search, can a receiver verify a certificate without calling the office, and does Hindi print correctly on the page?
